Bachelor's degree in Human Resources, Business Administration or in a related field. Two years of experience in a related field. Proficiency with Microsoft Office (Outlook, Word, Excel and PowerPoint) and familiarity with report-writer software preferred. Bilingual preferred. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Nature & Purpose of Position
Performs highly advanced specialist duties for the People Operations - Human Resources Department.
Primary Responsibilities
Coordinates hiring and employment processes for all hourly student employees across the university. Applies established policies, procedures, and professional practices to ensure student employment activities are completed accurately and in compliance with university, state, federal, and program requirements.
Coordinates student employment programs and processes, including posting positions, reviewing and approving job postings, facilitating orientation and onboarding for hourly student employees and graduate assistants, processing hiring documentation, and creating and processing Electronic Personnel Action Forms (EPAFs). Reviews and approves onboarding tasks and employment documentation through the employee onboarding platform and applicant tracking systems.
Maintains accurate employee records in Banner/My Sam and processes student employment changes, separations, and terminations. Assists departments with payroll-related forms and employment updates. Monitors employment workflows and compliance-related processes, including College Work Study (CWS) separation EPAFs, and communicates with departments regarding required actions to ensure timely processing and compliance with university and program requirements.
Serves as a primary point of contact for student employees and hiring managers regarding student employment processes and HR systems. Provides guidance and assistance with Banner/My Sam, applicant tracking systems, onboarding processes, and other employment-related matters. Schedules and conducts Microsoft Teams meetings as needed to troubleshoot HR system issues and provide individualized support to departments and students.
Assists in the development and implementation of training programs and resources related to student employment processes and systems. Maintains knowledge of applicable laws, regulations, university policies, procedures, and best practices.
Determines work priorities, monitors work in progress, and ensures established deadlines are met. Provides general administrative support, including answering phones, responding to emails, and assisting office visitors. May provide support in other areas of Human Resources, including front desk operations, employment verifications, and special projects, as needed. Performs other related duties as assigned.
Other Specifications
Knowledge of related state and federal employment laws. Must be able to communicate effectively with faculty, staff, students, and other university departments, vendors, and off campus agencies on procedural and policy matters. Performs research and prepares analytical reports and provides recommendations on assigned subjects. Handles sensitive and difficult personnel issues as a normal course of activities. Requires independent judgement, initiative, confidentiality, and time management skills. Requires a level of skill with modern office equipment and the ability to type.
