JOB OVERVIEW
The Facilities & Maintenance Specialist provides hands-on operational and coordination support for the Facilities Management team across multiple sites. This role is responsible for coordinating facilities, maintenance requests, vendors, contractors, and day-to-day facility operations to help ensure company locations remain safe, functional, well-maintained, and operationally efficient.
The ideal candidate is organized, detail-oriented, responsive, and proactive, with the ability to independently manage multiple facilities-related requests and priorities while working effectively with employees, vendors, contractors, and internal teams across multiple locations.
Responsibilities:
- Coordinate day-to-day facilities and office operations across multiple sites, including general facility requests, supplies, access, office setups, and operational needs.
- Coordinate and oversee vendors and contractors across multiple locations, including scheduling, site access, service visits, follow-up, and ongoing communication.
- Receive, prioritize, track, and coordinate building maintenance and service requests, escalating urgent, complex, or recurring issues to the FMS Manager.
- Create, update, monitor, and close work orders, ensuring timely completion and accurate documentation of facilities and maintenance activities.
- Coordinate and track preventative maintenance programs, inspections, repairs, and scheduled service activities across all sites.
- Support safety and compliance activities, including inspections, documentation, certifications, and reporting of facility hazards, deficiencies, or concerns.
- Coordinate schedules, inspections, vendor visits, service appointments, and other facilities-related activities across multiple locations.
- Review and process invoices, purchase orders, service documentation, and facilities-related records, ensuring information is accurate and complete.
- Maintain accurate and organized facilities, maintenance, vendor, compliance, and service records within applicable systems and spreadsheets.
- Monitor open facilities and maintenance items, follow up with vendors and internal stakeholders, and help ensure issues are resolved within appropriate timeframes.
- Serve as a key point of contact for employees, vendors, contractors, property management, and internal teams regarding routine facilities and maintenance needs.
- Identify recurring facility issues, operational inefficiencies, and opportunities for improvement, and communicate recommendations to the FMS Manager.
- Support facilities projects and initiatives as needed, including office moves, space changes, special events, facility improvements, audits, and other operational projects.
- Provide operational support to the FMS Manager and Facilities team and assist with implementing facilities procedures, processes, and standards.
- Perform other duties and responsibilities as assigned.
Qualifications:
- 2+ years of experience in facilities management, maintenance coordination, office operations, property management, or a related field preferred.
- Bilingual in English and Spanish required, with the ability to communicate effectively both verbally and in writing.
- Strong organizational, time-management, and attention-to-detail skills.
- Excellent communication, follow-up, and customer-service skills.
- Ability to independently manage multiple requests, priorities, projects, and locations in a fast-paced environment.
- Demonstrated ability to coordinate effectively with vendors, contractors, employees, property management, and internal teams.
- Proficiency with Microsoft Office, particularly Outlook and Excel.
- Experience with a CMMS, work-order, or facilities management system is a plus.
- Strong problem-solving and decision-making skills with a proactive, hands-on, and team-oriented approach.
- Ability to identify issues, determine appropriate next steps, and escalate matters when necessary.
- Ability and willingness to travel regularly between multiple company sites as needed. Travel between sites will be a routine part of the role.
