Job Summary

In search of a team player to support the most critical customer engagements in the client's Electrophysiology division. This position will play a key role in bringing to life different meetings, events, and presentations around the world while supporting the back-end tracking and reporting of all such engagements. The ideal candidate must be adaptable and investigative someone who can help create a process, be open to learning and creating new things, and build new systems and databases. Our team is newer within the organization, and we are creating the standards rather than following prescribed processes. We need someone who can work with various functions and colleagues across the organization to "figure it out" whatever the task.

Key Responsibilities

  • Lead the process to strategically plan and execute healthcare internal and external meetings and events for the client.
  • Collaborate with Product Marketing, Clinical Marketing, Product Development, Global Communications, and other key stakeholders to ensure business objectives and priorities are met.
  • Work closely with vendors to design or create event elements to support strategic objectives and program deliverables.
  • Lead effort in venue sourcing to place the meeting or event with the appropriate meeting space and other specifications to support each program.
  • Process a series of post-event activities that include timely payment of invoices, internal cross-charging, financial summary, and attendee evaluations.
  • Maintain positive and cooperative communications and collaboration with all levels of employees, customers, contractors, and vendors.
  • Coordinate all reporting metrics to provide compliance-appropriate reports for programs as well as to identify areas for continuous improvement in the execution of events.
  • Manage registration process and event communications, physician contracting, program logistics, and post-program close-out for assigned events.
  • Provide support and coordination in the daily duties required to comply with process integrity, systems monitoring, and data collection requirements for a specific entity (an entity defined as a specific group designated to specific responsibilities).
  • Review, analyze, and evaluate business systems and user needs.
  • Formulate systems to align with overall business strategies, with specific emphasis on identifying, developing, and optimizing digital tools and solutions to achieve tasks.
  • Build infrastructure for tracking and reporting in new CRM and other tools.
  • Rely on instructions and pre-established guidelines to perform the functions of the job when available and help create guidelines, with support of cross-functional partners, when needed.
  • Work with Legal and Compliance teams as necessary to ensure appropriate execution of events in accordance with compliance guidelines, Sunshine Act, and other governing legislation.
  • Comply with U.S. Food and Drug Administration (FDA) regulations, other regulatory requirements, company policies, operating procedures, processes, and task assignments.
  • Utilize Global Pre-Approval System (GPAS) as required by Office of Ethics & Compliance for event approvals, physician contracting, and engagement tracking.

Education Requirements

  • Minimum bachelor's degree required
