    BASIC FUNCTION & RESPONSIBILITY:

    With minimal supervision organize and manage the routine work activities for the Athletic Department and provide clerical support to the Athletic Director and other departments as needed.

    ENTRY QUALIFICATIONS:

    • High school diploma or GED

    EXPERIENCE:

    • Three years' secretarial experience, preferably in a public education environment.

    KNOWLEDGE, SKILLS & ABILITIES:

    • Proficient skills in keyboarding, word processing, and file maintenance.
    • Effective communication, interpersonal skills and basic math skills.
    • Ability to use personal computers and software to develop spreadsheets and databases and do word processing.
    • Proficient in Microsoft office and Google Applications

    Major Responsibilities and Duties:

    Records, Reports, and Correspondence:

    • Prepare correspondence, emails, forms, reports, manuals, and presentations for the Athletic Director and other department members.
    • Collaborate with all coaches on staff meetings, schedules, problems, and concerns.
    • Receive, sort and distribute mail, phone calls and other documents for the Athletic department.
    • Compile and maintain pertinent data, athletic records, the athletic calendar, and department files.
    • Coordinate, schedule, and maintain records for all CPR training for athletic coaches.
    • Generate and monitor for all athletic facility work orders.
    • Mentor and guide coaching staff to demonstrate effective practices.
    • Coordinate all athletic events.
    • Coordinate and evaluate sponsorship opportunities for Memorial Stadium.
    • Keep informed of and comply with all state and district policies and regulations concerning primary job functions.
    • Have a basic understanding of UIL rules and regulations.

    Budget and Inventory:

    • Perform routine bookkeeping and budgetary matters for the Athletic department including creating purchase orders, invoices, approval of purchase orders, managing budgets and ledgers, making bank deposits and monitor ArbiterPay for officials.
    • Maintain and process timesheets, travel expense, mileage and bus-field trip forms.
    • Take inventory and stock all coolers of the Bastrop Memorial Stadium concession stands, press box and locker rooms.
    • Supervise press box and locker room activities for athletic events.

    Athletic Events:

    • Facilitate all athletic events of all functions; in-district and out-of-district events including, playoffs and graduation.
    • Plan and manage all coaches meetings.
    • Organize and schedule usage of Bastrop Memorial Stadium concession stands with Booster Clubs, opposing team staff officials, and ambulance service.
    • Input and maintain athletic events in the HomeTown Ticketing platform for all online ticketing sales.
    • Maintain a flexible schedule to work outside of the normal M-F, 8am-5pm hours for events at Bastrop Memorial Stadium, as well as other BISD athletic events as necessary.
    • Review, Hire, Train and Supervise Memorial StadiumTemporary Workers for Athletic Events.

    Student Management:

    • Communicate information to the District's Physical Education teachers related to the Fitness Gram.
    • Evaluate annual Physical Education Curriculum and distribute it to coaches.
    • Support Rank One matters as they pertain to athletes' physicals and injury reports.

    Facility Usage:

    • Coordinate requests from district and out of district groups for facility usage of district's campus athletic facilities.
    • Organize and Facilitate the Brightly Facility Management system and train campus personnel on implementation.
    • Submit custodial and maintenance requests for athletic events and facilities.
    • Maintain and submit requests in the Bastrop ISD work order system utilized by maintenance and custodial.

    Other

    • Maintain a positive communication line with community members, parents, coaching staff and spectators.
    • Maintain confidentiality at all times.
    • Manage user data on software applications such as Bushive, Perry Weather and RankOne/UIL Portal.
    • Must be self-motivated and organized to accomplish tasks and answer questions when the Athletic Director is out of the office.
    • Maintain a schedule of workshops and conferences for Athletic Director.
    • Ensure a positive culture for Bastrop ISD.
    • Follow District safety protocols and emergency procedures.

    EQUIPMENT USED:

    • Personal computer, emailing, printer, calculator, copier, and fax machine.

    SUPERVISION EXERCISED:

    • Recruiting, scheduling, and training the Bastrop Memorial Stadium event workers.

    PHYSICAL & MENTAL DEMANDS:

    • Work with frequent interruptions.
    • Maintain emotional control under stress.
    • Use a computer for prolonged periods resulting in repetitive hand motions.
    • Lift and/or move up to 25 lbs. occasionally.
    • Sit or stand for extended periods.
    • Travel district wide frequently.
    • Work occasional prolonged and irregular hours.
