The Special Projects Administrator will assess the DC facility and maintenance needs for each DC. The position will visit and work with the DC leadership and maintenance departments by identifying the needs of the facility, conveyor, and/or Capital expenditures the DC may need immediately or in the following budgeted year. This position will work as the subject matter expert and also the project coordinator for ensuring we obtain bids and create ROIs as needed for all projects. This position will maintain ownership of DC projects throughout all phases. They will maintain all formal communications as it pertains to the development of the project schedule, when applicable. Maintain strategic vision towards resource management and provide checks and balances for cost control.

Essential Job Functions

Due Diligence:

  • Work with the DC leadership to identify major repairs and replacement for facility items such as HVAC, generators, repair replacement roofs, and/or parking lots. This is just an example and not an inclusive list.
  • Once identified, this role will communicate with the DC and necessary internal departments so they are aware of the need to budget and plan accordingly.
  • Assist the DC teams with gathering the scope of work, any special inspection documentation needed, and permit applications.
  • Review any preliminary and final project documents for feasibility of timeline and cost control.
  • Create schedule for DC, Distribution Operations leadership, and Vendors.

Bidding:

  • Building Projects: Strategically select the appropriate vendors based on geographical location, work load and skill set.
  • Qualify all proposals and assure they reflect the project scope of work required.
  • Present all bid documents to the Distribution Facilities & Maintenance Manager, DC Manager, and DC Maintenance Supervisor.
  • Submit vendor bid selected through our Expenditure Request process in order to get final leadership approvals to move forward.

Contract:

  • Work with Distribution Operations Contract Review team to insure all appropriate documents are in order.
  • Communicate any redline items OReilly legal team has with prospective vendor.

Awarding:

  • Work with the DC Manager and DC Maintenance Supervisor to establish and appropriate timeline based on scope of work and operational strategy.

Project Process:

  • Monitor each project by creating a check list with expected due dates for each step of the project, obtain photos and keep direct communication with the vendor throughout the project.
  • Maintain a firm grasp on project progress while keeping the appropriate departments up to date.
  • The DC SPA will need to be ready to handle last minute changes while minimizing the impact to the project schedule and productivity of the DC.
  • Be available to take trips to job sites as needed.
  • Warranty: DC should submit any warranty issues, but DC SPA will need to monitor and follow up as needed.

Skills/Education/Knowledge/Experience/Abilities

Required:

  • Bachelors Degree in Construction Management and/or 3 years experience in project administrating, managing, supervising related position, preferable in the distribution sector, or comparable related experience.
  • Excellent ability to organize projects.
  • Time management is an essential skill. Set clear timelines for task due dates.
  • Superior communication skills with all individual OReilly departments, DCs, vendors, etc.
  • Must demonstrate networking ability and maintain a can do attitude with respect to dealing with consultants, contractors, vendors, and fellow team members.
  • Personable, able to deal within the framework of a large organization and work with others as a team player.
  • Ability and desire to quickly learn new job related information.
  • Display professional appearance and conduct.
  • Work in a manner which maintains the Companys highest level of quality.
  • Must maintain confidentiality.

Desired:

  • Knowledge of Microsoft Office; Including Excel, Word and Power Point.
  • 3-5 Years experience in corporate setting with an emphasis on project administration, information gathering and reporting.

It started with a father and son - Charles Francis "C.F." and Charles H. "Chub" O’Reilly. Together they had the courage and confidence to venture out on their own. Along with 11 others who shared the same desire to offer great customer service and auto parts availability, the doors of O’Reilly Automotive, Inc. opened on December 2, 1957.

O’Reilly currently operates stores in 47 states, including Alaska and Hawaii, and distribution centers in 27 locations.
