About the Role
National Facility Contractors is seeking a driven, detail-oriented Sourcing Coordinator to build, maintain, and support a nationwide network of qualified subcontractors for planned maintenance and client service needs. This role connects Sourcing, Operations, Account Management, and Vendor Management by ensuring vendors are identified, qualified, onboarded, compliant, and operationally ready.

This is not a strictly administrative position. The successful candidate will combine high-volume outbound prospecting and relationship development with disciplined operational coordination, documentation, and follow-through. You should be confident initiating conversations, communicating a compelling partnership opportunity, overcoming objections, securing commitments, and moving vendors through qualification and activation.

Job Responsibilities

What You’ll Do


Subcontractor Recruitment & Relationship Development
•   Conduct consistent outbound calls, emails, and other outreach to identify and recruit qualified subcontractors nationwide.

•   Serve as a professional point of contact for prospective and existing vendors throughout sourcing, qualification, onboarding, and activation process.

•   Clearly communicate the company’s value proposition, partnership expectations, and available service opportunities.

•   Build rapport, address objections, follow up persistently, and secure vendor commitments.

•   Develop productive, long-term vendor relationships that support current and future service demand.

Vendor Research, Sourcing & Coverage
•   Research reputable vendors across multiple service categories and geographic markets.

•   Evaluate capabilities, service areas, capacity, reliability, availability, pricing competitiveness, and fit with company and client requirements.

•   Build and maintain an organized pipeline of qualified vendor prospects and approved subcontractors.

•   Monitor vendor capacity, anticipate sourcing needs, identify coverage gaps, and prioritize outreach based on operational demand.

•   Consistently meet established outreach, sourcing, conversion, and onboarding goals.

Vendor Onboarding & Compliance
•   Guide subcontractors through onboarding, schedule onboarding appointments, monitor progress, and coordinate activation.

•   Collect, review, track, and maintain required documentation, including certificates of insurance, W-9 forms, service agreements or contracts, applicable licenses, and certifications.

•   Follow up promptly to resolve missing, incomplete, inaccurate, or expired documentation.

•   Confirm vendors meet company standards and client requirements before work begins.

•   Maintain accurate vendor records, status notes, compliance documents, and communication history in company systems.

Contract, Scope & Operations Support
•   Communicate service scope, schedules, deadlines, pricing expectations, and performance requirements clearly to vendors.

•   Coordinate vendor availability and confirm timelines to support successful planned-maintenance execution.

•   Provide timely updates to Operations and Account Management regarding vendor status, coverage, scheduling, onboarding progress, and potential delays.

•   Escalate risks proactively and assist with resolving vendor, scope, scheduling, or service-delivery challenges.

•   Support sourcing initiatives based on client requirements and changing operational priorities.

Qualifications

Required Qualifications
•   Demonstrated ability to make outbound calls, build rapport, qualify prospects, overcome objections, follow up consistently, and secure commitments.

•   Experience working toward measurable outreach, conversion, pipeline, recruiting, onboarding, or sales goals.

•   Strong verbal and written communication skills, including a confident and professional phone presence.

•   Excellent organization, attention to detail, follow-through, responsiveness, and time-management skills.

•   Ability to manage multiple priorities and deadlines independently in a fast-paced service environment.

•   Proficiency with CRM or vendor-management systems, excel spreadsheets, email, and web-based communication tools.

Preferred Qualifications
•   Experience sourcing, recruiting, qualifying, or onboarding contractors, suppliers, vendors, service providers, or candidates.

•   Experience in facilities management, construction, property services, restoration, logistics, field services, or a related industry.

•   Familiarity with certificates of insurance, W-9s, service agreements, licenses, and vendor compliance requirements.

•   Experience managing geographically distributed vendor coverage or multiple service categories.
