    Job Description

    The Site Services Manager leads site-wide support functions—administrative, analytical, procurement, and project management—to ensure efficient, cost-effective, high-quality service delivery. As the primary onsite leader for supplier oversight, purchasing, spend management, and vendor performance supporting laboratory and site operations, this role drives operational excellence, cost-effective procurement of consumables and supplies, and compliance with customer and company requirements.

    Job Responsibilities

    Leadership & Team Management

    • Lead, mentor, and develop a cross-functional team (Coordinator Assistants, Administrative Assistant, Data Analyst, Project Manager, Procurement Specialist); set clear goals and foster a collaborative, high-performing environment

    • Support employee development through coaching, training, and succession planning

    • Provide functional leadership over site purchasing, supplier coordination, vendor performance, and spend management

    Operational Excellence & Project Management

    • Oversee daily site services operations; identify and implement process improvements and streamlined workflows

    • Partner cross-functionally to support site needs and business priorities

    • Oversee site-level projects to ensure on-time, in-scope, on-budget delivery; collaborate with the Project Manager to prioritize initiatives and manage resources

    • Use data and metrics to evaluate project outcomes and inform decision-making

    Procurement & Cost Management

    • Drive procurement strategy and cost savings initiatives—vendor negotiations, contract optimization, spend analysis—while ensuring compliance with company policy

    • Manage purchasing for laboratory operations, facility services, consumables, office supplies, and other operational support; ensure timely procurement of critical materials and services

    • Monitor budgets and spending trends; report on financial performance and identify cost avoidance, standardization, and efficiency opportunities

    • Partner with customer stakeholders and approved suppliers to obtain quotes and evaluate options for best-value purchasing decisions

    • Place, approve, track, and manage purchases for operational supplies, lab consumables, services, equipment, and facilities-related expenditures

    Data & Reporting

    • Leverage data analytics to identify trends and support strategic decisions; ensure accurate reporting and visibility into KPIs

    • Partner with the Data Analyst to enhance reporting tools and dashboards

    Sustainability (Preferred)

    • Support sustainability initiatives—waste reduction, resource optimization—that improve environmental impact while maintaining cost efficiency

    Additional Responsibilities

    • Serve as the Subject Matter Expert (SME) for cross-functional site services; partner with customer safety representatives to maintain laboratory safety and compliance

    • Participate in floor/building oversight meetings and maintain regular stakeholder communication to proactively address and resolve issues

    • Partner with the Site Lead on talent development, workforce planning, and overall business performance

    • Identify opportunities for service expansion and business growth in collaboration with internal and customer stakeholders

    • Lead hiring activities (interviewing, selection, onboarding) and manage employee performance and disciplinary matters in line with company policy

    • Develop, implement, and maintain SOPs, work instructions, and supporting documentation for consistent service delivery

    • Ensure compliance with all health, safety, environmental, and security policies and procedures

    • Maintain readiness for regional travel based on business needs

    Critical Skills

    • Proficient in project management, process optimization, and analytical/problem-solving

    • Ability to interpret information and transform it into visual data and reporting

    • Strong communication, interpersonal, and coaching skills, including experience engaging senior-level management

    • Experience working in a compliance-driven environment

    • Proficient in Microsoft 365 (Outlook, Teams, Word, Excel, and others)

    • Self-motivated; able to work under pressure and prioritize conflicting deadlines

    • Ability to work collaboratively with international counterparts to achieve global objectives

    • Experience managing supplier relationships, vendor performance, and purchasing activities for consumables, services, equipment, or operational supplies

    • Proven ability to manage budgets, spending plans, and cost reduction initiatives

    • Understanding of purchase orders, quotations, invoicing, and supplier management practices

    • Experience with ERP, purchasing, inventory management, or similar business systems

    Basic Qualifications

    • Bachelor's degree in Business, Operations, Supply Chain, or related field (or equivalent experience)

    • Minimum 5 years managing purchasing activities, supplier relationships, vendor performance, budgets, and cost management initiatives, including placing, approving, tracking, and managing purchases for operational supplies, laboratory consumables, services, equipment, or facilities-related expenditures

    • Demonstrated leadership experience managing diverse teams

    • Strong analytical, problem-solving, and decision-making skills

    • Excellent communication and stakeholder management, including holding vendors accountable for service, delivery, quality, and contractual obligations

    Preferred Qualifications

    • Experience in a research laboratory environment, pharmaceutical industry experience highly preferred; biotechnology, healthcare, manufacturing, or other regulated environments purchasing lab consumables, supplies, equipment, or third-party services also relevant

    • Expertise in data analysis, strategic thinking and execution, and financial/business acumen

    • Project management experience or certification

    • Knowledge of laboratory safety practices and 5S and/or Six Sigma principles

    • Demonstrated history managing supplier spend, vendor performance, and purchasing programs in a customer-facing environment

    Working Environment

    • Must be able to work in a laboratory/controlled environment requiring personal protective equipment (e.g., lab coat, safety glasses)

    • Job pace may be fast, with high job completion demands

    • Must be able to remain in a stationary position more than 25% of the time

    • Occasionally moves between labs, corridors, adjoining rooms, and buildings onsite; frequently operates instruments, objects, tools, or controls requiring regular bending, squatting, stretching, and reaching

    • Occasionally lifts or moves up to 25 pounds
