Job Title: Office Manager

Job Summary: The Office Manager oversees the daily operations of a primary care medical practice. This role ensures smooth workflow, high-quality patient care, and compliance with healthcare regulations. The manager supervises administrative and clinical staff, manages budgets, coordinates scheduling, and supports the physicians and healthcare providers.
Key Responsibilities:
Oversee day-to-day operations of the medical office, ensuring efficient workflow and excellent patient service. Manage staff including front desk, medical assistants, and billing personnel: assist with hiring, training, scheduling, and performance evaluations. Monitor and manage patient scheduling, registration, and intake processes to minimize wait times and maximize efficiency. Ensure compliance with HIPAA, OSHA, and other regulatory standards. Handle billing, coding, insurance claims, and reimbursement processes in coordination with billing staff. Maintain office supplies and equipment, coordinating maintenance and repairs as needed. Implement and maintain office policies and procedures. Serve as a liaison between providers, staff, patients, external vendors or partners, and Administration. Address patient complaints or concerns in a professional and timely manner. Assist in quality improvement initiatives and reporting for value-based care programs. All other duties as assigned.
Qualifications:
High school diploma or equivalent required; associate's or bachelor's degree preferred 3+ years of experience in a medical office management or healthcare administration role (primary care preferred). Strong knowledge of medical terminology, billing practices, and healthcare regulations. Proficiency with EHR systems (e.g., Allscripts). Experience managing staff and resolving interpersonal or operational issues.
