The Site Administrator serves as the primary administrative support professional for the Cartersville project site. This role functions similarly to an Administrative Assistant, providing day-to-day office, clerical, and coordination support to site leadership, project personnel, and visiting employees. Responsibilities include managing administrative processes, coordinating travel and site access, maintaining records and documentation, assisting with purchasing activities, and supporting the overall efficiency of site operations. The position focuses on administrative execution and office support rather than project management or technical oversight.
Essential Responsibilities
Administrative Support
- Support daily administrative operations at the customer site.
- Attend customer and internal meetings and document meeting notes as requested.
- Maintain personnel records, site documentation, and administrative files.
- Prepare reports, spreadsheets, and presentation materials using Microsoft Office.
- Coordinate badge requests and site access requirements.
Travel & Personnel Coordination
- Arrange rental vehicles, lodging, and transportation for visiting employees.
- Support guest house and housing arrangements for Korean expatriates and visitors.
- Coordinate visitor schedules and assist with onboarding activities.
- Maintain personnel rosters and attendance records.
Purchasing & Expense Administration
- Purchase routine site supplies and operational materials.
- Organize receipts and support expense reporting.
- Assist with corporate card reconciliation and payment tracking.
- Coordinate local vendor purchases as needed.
- Track parts and materials shipped from Korea.
- Receive, verify, and document incoming shipments.
Site Support
- Support daily safety documentation and toolbox meeting records.
- Assist with PPE distribution and inventory tracking.
- Coordinate facility-related requests and maintenance activities with vendors.
- Support special projects and site activities as assigned.
- Maintain inventory records for customer project materials.
- Coordinate with vendors regarding deliveries and shipments.
Qualifications
- Fluency in both Korean and English (written and verbal)
- Strong organizational and administrative skills
- Proficiency with Microsoft Office (Excel, Outlook, Word, PowerPoint)
- Ability to manage multiple priorities and coordinate activities across teams
- Valid driver's license
Preferred
- Bachelor's degree or Associate degree in Business Administration or related field
- 1-3 years of administrative, customer support, or operations experience
- Experience supporting a manufacturing or construction project site
- Basic understanding of inventory tracking and logistics coordination
- Experience with Korean corporate culture
Nice to Have
- SAP or ERP system experience
- Document control experience
Work Environment
- Report to the site office daily with some on-site support required, as needed
- Monday – Friday 40+ hours per week
- 10% travel required, maximum
- Pay DOE, $22-27/hr. OT eligible.
