    Job Description

    General Purpose of Job:

    Under the direction of the Gift Shop Supervisor, the Gift Shop Coordinator oversees the daily operations of the Gift Shop at the UM Health-Community Hospitals, ensuring exceptional customer service, efficient inventory management, and effective volunteer coordination.

    Essential Duties:

    This job description is intended to cover the minimum essential duties assigned. Associates may be asked to perform additional duties as assigned by their leader. Leadership has the right to alter or modify the duties of the position.

    Inventory Management:

    • Manage inventory levels to ensure accurate financial reporting and minimize shrinkage.
    • Receive, unpack, and process merchandise deliveries, accurately entering new inventory into the Counterpoint retail management system.
    • Perform the data entry and receiving functions required to bring new inventory into Counterpoint, including creating and matching purchase orders, entering item and vendor details, verifying quantities and pricing against packing slips and invoices, and researching and resolving any receiving discrepancies.
    • Ensure all merchandise is properly tagged, displayed, and secured.
    • Maintain a clean and organized backstock area.

    Volunteer Management:

    • Develop and maintain the volunteer schedule, ensuring adequate floor coverage.
    • Provide orientation, training, and ongoing coaching to gift shop volunteers.
    • Communicate regularly with volunteers regarding sales, markdowns, policies, and procedures.
    • Foster a positive and supportive volunteer environment.

    Customer Service:

    • Provide exceptional customer service, including greeting customers, offering product recommendations, and resolving inquiries and disputes.
    • Process sales transactions, balance registers, and prepare deposits.
    • Maintain a clean and organized store environment.
    • Enforce the dress code to maintain a professional appearance that reflects the UM Health-Sparrow brand.

    Administrative Duties:

    • Ensure compliance with all hospital and gift shop policies and procedures.
    • Create and display signage to promote sales and communicate important information, adhering to UM Health-Sparrow brand guidelines.
    • Assist with daily register closeout and balancing.
    • Provide backup coverage for the gift shop as needed.

    Technical Skills:

    • Serve as the primary point of contact for IT related to the Counterpoint POS system and other retail technology.

    Job Requirements

    General Requirements • None Work Experience • Minimum one year of retail experience. • Previous customer service experience - preferred. • Experience working with Volunteers - preferred. • Experience within a healthcare system - preferred. • Experience using a point-of-sale system - preferred. Education • High school diploma or GED. • Associate's Degree in Business, Finance, or Hospitality - preferred. Specialized Knowledge and Skills • Excellent customer service, communication, and interpersonal skills. • Basic math skills for handling transactions and making change. • Strong organizational skills and attention to detail. • Flexibility to work a varied schedule, including weekends, if needed • Positive attitude and a willingness to learn. • Ability to work in a fast-paced environment. • Ability to work independently and as part of a team. • Basic computer skills. • Develop and maintain positive relationships. • Strong organizational skills and ability to multi-task. • Ability to make decisions independently. • Schedule flexibility M-F with availability of evenings and weekends when needed. • Ability to lift 25 pounds
