    Position Summary   
    The Shop Administrative Clerk supports daily operations of the shop by managing administrative tasks, coordinating workflow between mechanics/technicians and management, and ensuring accurate documentation of repairs, inventory, and compliance records. This role keeps the shop organized, efficient, and aligned with company procedures.
     
    Key Responsibilities
    • Work Order & Repair Documentation — Create, update, and close work orders; ensure all labor, parts, and notes are accurately recorded.
    • Parts & Inventory Coordination — Track parts usage, maintain inventory logs, assist with ordering, and verify deliveries.
    • Technician Support — Assist technicians with documentation needs, time entry, and locating parts or materials.
    • Customer & Internal Communication — Communicate repair status updates to supervisors, dispatch, and customers when applicable.
    • Recordkeeping & Compliance — Maintain files for inspections, maintenance schedules, DOT compliance, and equipment records.
    • Billing & Administrative Tasks — Prepare invoices, match purchase orders, process receipts, and support accounting with documentation.
    • Scheduling & Workflow Management — Help coordinate shop schedules, equipment downtime, and vendor appointments.
    • General Office Duties — Answer phones, manage emails, file documents, and maintain a clean, organized administrative workspace.
    Qualifications
    • Experience in a shop, fleet, towing, transportation, or mechanical environment preferred.
    • Strong organizational skills and attention to detail.
    • Ability to multitask in a fast‑paced, hands‑on environment.
    • Proficiency with computers, shop management systems, and Microsoft Office.
    • Excellent communication and customer service skills.
    • Ability to work independently and collaborate with technicians and leadership.
    Physical Requirements
    • Ability to stand, walk, or move around the shop as needed.
    • Lift, carry, or move items up to 25–30 lbs. (parts, files, small equipment).
    • Bend, reach, and handle materials in a shop environment.
    • Tolerance for working near noise, machinery, and outdoor elements when accessing equipment.
