Service Schedule Coordinator

Heeter Plumbing is looking for a motivated, organized full-time Service Schedule Coordinator to join our growing North Dayton team!
In this role, you will be responsible for coordinating, maintaining, and growing our recurring service programs, including backflow prevention, drain cleaning/jetting, grease trap pumping, and water heater services. We're looking for someone who thinks ahead, enjoys solving problems, embraces technology, and takes pride in making sure nothing falls through the cracks.

Schedule:
- Monday to Friday
- 8:30AM – 4:30PM
The right candidate will have:
- Previous administrative experience preferred
- Comfortability communicating with both clients and field staff
- Ability to create and maintain relationships with clients
- Previous experience in scheduling, reporting, and client follow-up
- Confidence with Microsoft programs & Outlook
- Enthusiasm for learning new technology, including AI tools
- Organizational skills and attention to detail
- Ability to work professionally
Our Service Schedule Coordinator will:
- Coordinate recurring PM/RM scheduling with clients and field technicians throughout Ohio and Kentucky.
- Maintain accurate client records, service histories, and reporting deadlines.
- Contact clients to schedule service, confirm access, and provide reminders.
- Track upcoming and overdue services and follow up as needed.
- Prepare, submit, and track required municipal reports.
- Follow up on incomplete paperwork, recommended work, and additional service needs.
- Help grow recurring service relationships through consistent client follow-up.
- Encourage honest client feedback and online reviews after completed service.
- Address client concerns and communicate unresolved issues to management.
