Service Coordinator

As the central point of contact between customers and our service technicians, you will keep repairs, installations, and maintenance visits running smoothly from first call to final follow-up. Role Overview

The Service Coordinator manages the daily flow of service requests for our spa, saunas, and pool table customers. You will schedule appointments, dispatch technicians efficiently, and ensure that each job is documented accurately. By balancing competing priorities and communicating clearly, you help the service department deliver the best customer experience even during busy seasons.

Key Responsibilities

• Receive and respond to service inquiries by phone, email, and in person, logging each request with complete and accurate detail.
• Build and maintain the technician schedule, coordinating routes and appointment windows to make the most of each workday.
• Dispatch technicians, confirm appointments with customers, and proactively communicate any changes or delays.
• Track parts orders, warranty claims, and equipment needs so that technicians arrive prepared for each job.
• Maintain service records, update customer accounts, and prepare clear work orders and invoices.
• Follow up after completed visits to confirm satisfaction and reinforce the best customer experience we aim to provide.
• Coordinate with the sales and installation teams to support new spa and pool table deliveries.
• Identify recurring service issues and share feedback that helps the team continually improve the best customer experience.

Qualifications

• Prior experience in scheduling, dispatching, customer service, or administrative coordination.
• Strong organizational skills with the ability to manage multiple priorities and shifting timelines.
• Comfort using scheduling software, email, and basic office applications; willingness to learn our service systems.
• Excellent written and verbal communication skills, with patience and professionalism under pressure.
• A collaborative approach to working with technicians, sales staff, and management.
• Accuracy in record keeping, billing documentation, and order tracking.

A background in home services, recreation equipment, or a related field is helpful but not required. Most important is a genuine commitment to the best customer experience and a steady, service-minded attitude that keeps customers confident in every appointment.
