Position Summary

State Roofing is seeking a highly organized and customer-focused Service Administrator / Service Coordinator to support our fast-paced California Service Department. This role is the operational hub of the service team, coordinating customer requests, dispatching technicians, processing invoices, and managing Accounts Receivable and Accounts Payable activities.

The ideal candidate enjoys working in a high-volume environment, possesses strong bookkeeping and administrative skills, and can effectively communicate with customers, vendors, technicians, and internal teams. Success in this role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities while delivering outstanding customer service.

Essential Duties & Responsibilities

• Serve as the primary point of contact for customers requesting roof repairs and preventative maintenance services.
• Receive, prioritize, and coordinate incoming service requests.
• Schedule and dispatch service technicians throughout California based on customer needs, technician availability, and service priorities.
• Maintain frequent communication with customers regarding scheduling, service updates, and job completion.
• Process customer invoices accurately and timely following completion of service work.
• Manage Accounts Receivable, including collections on outstanding invoices and customer payment follow-up.
• Process Accounts Payable invoices and maintain accurate vendor records.
• Coordinate purchase orders, work orders, and related service documentation.
• Enter and maintain service jobs, customer information, and work orders within Salesforce and other company systems.
• Review completed work orders to ensure all required documentation is received prior to invoicing.
• Work collaboratively with customers, vendors, subcontractors, and internal departments to ensure efficient service delivery.
• Maintain organized electronic job files, service records, warranties, and supporting documentation.
• Assist with ordering and tracking materials for service work as needed.
• Generate reports related to invoicing, collections, work order status, and service activity.
• Identify opportunities to improve administrative workflows and service processes.
• Cross-train with other administrative staff to provide departmental support as needed.
• Perform additional administrative duties as assigned.

Qualifications

• Minimum of 5 years of administrative or service coordination experience.
• Previous bookkeeping experience including Accounts Receivable, Accounts Payable, invoicing, and collections.
• Experience in commercial roofing, construction, HVAC, plumbing, electrical, or another service-based industry preferred.
• Experience dispatching field technicians in a high-volume environment is highly preferred.
• Strong customer service and relationship-building skills.
• Excellent verbal and written communication skills.
• Outstanding organizational and time management abilities.
• Ability to manage multiple priorities while maintaining accuracy and attention to detail.
• Self-motivated with the ability to work independently and as part of a team.

Technical Skills

• Proficiency in Microsoft Office (Word, Excel, Outlook)
• Experience with Salesforce CRM preferred
• Experience with Viewpoint or similar accounting/ERP software preferred
• Strong computer and data entry skills
• Ability to quickly learn new software platforms

Education & Experience

• High school diploma or GED required.
• Associate's or Bachelor's degree in Business, Accounting, or a related field preferred.
• Equivalent combinations of education and relevant experience will be considered.
