    Description

    Title: Senior Project Administrator/Coordinator               

    Reporting to: Office Director / Project Manager

    Overview of Role

    This is a site-based role supporting the delivery of a complex, mission-critical data center project and requires close coordination with the client, design team, general contractor, trade partners, commissioning team, and project controls personnel. The Senior Project Administrator/Coordinator will be responsible for managing and maintaining open communication channels between the office and field personnel to ensure all paper work is accomplished in a timely and accurate fashion on assigned projects, expediting routing for approval of purchase orders/subcontracts, expediting receipt of certificates of insurance/licenses/bonds as required from sub-contractors, submittal logging/tracking and follow-up, typing and distributing punch lists, and obtaining receipt for close out materials to the owner. The Senior Project Administrator/Coordinator should have the ability to identify opportunities within a project that will add value and help successfully accomplish the client’s desired project outcomes.

    Essential Functions

    • Maintain accurate document-control logs for data center work packages, including RFIs, submittals, shop drawings, change documentation, procurement status, inspections, testing records, and closeout deliverables.
    • Support tracking and reporting for long-lead and mission-critical equipment, including switchgear, generators, uninterruptible power supply systems, cooling equipment, and related delivery and documentation milestones.
    • Support commissioning and turnover by tracking punch lists, testing and inspection records, operations and maintenance manuals, warranties, training records, as-built documents, and system-based closeout packages.
    • Maintain confidentiality and comply with project requirements for site access, badging, information security, safety, and document management in a controlled data center environment
    • Experience supporting data center, mission-critical, industrial, semiconductor, healthcare, or other technically complex construction projects preferred.
    • Working knowledge of data center construction phases, major mechanical and electrical systems, commissioning, and turnover processes is desirable

     

    The ideal candidate will demonstrate a positive proactive approach to the role, and will be committed to delivering customer service excellence, with good commercial results. The candidate would have any of the following education and experience:

    • Two-year degree in project management or a related field.  Working experience may substitute for the degree.
    • Three years’ experience in project management or related field.
    • One to three years’ experience in design, construction or project management preferred
    • Skilled in Microsoft Office, including Word, Excel, Outlook, and PowerPoint
    • Excellent writing skills
    • Basic accounting skills
    • Contract administration experience a plus
    • Ability to work at various job sites.

    Physical Requirements and Working Conditions:

    • This position is based primarily in a project office on an active data center construction site and requires regular in-person coordination with field and office teams.
    • Often work in an Indoor office environment. Equipment used includes computers and standard office machines.  Essential physical tasks include: the ability to work on a computer and the ability to answer and speak on a telephone.
    • May work on site location to include ascending or descending ladders, stairs, scaffolding, ramps, poles, and the like, using feet and legs and/or hands and arms. Body agility is emphasized. This factor is important if the amount and kind of climbing required exceeds that required for ordinary motion and ability to lift 50lbs.

      • Standing for long periods of time
      • Walking, carrying, pushing, stooping, crouching, and pulling
