    Description

    Job Title: Senior Manager, Office Operations
    Location: Onsite Shelton CT Hybrid Schedule
     Type: Direct Hire Full Time Must Have Law Firm Experience
     Salary: $120-150K DOE Plus Year End Discretionary Bonus Plus Excellent Benefits(Unlimited PTO, 401K Day 1 with a match, etc)
    Travel on as needed Basis(Florida, California, DC, NJ, MA)


    Key Responsibilities
    • Direct and oversee daily office operations across multiple firm locations.(Florida, California, DC, NJ, MA) 
    • Ensure a professional, efficient, and client-focused office environment that supports attorneys, staff, clients, and visitors. 
    • Develop, implement, maintain, and continuously improve office procedures and operational standards. 
    • Evaluate workflows and operational processes and implement improvements to increase efficiency, consistency, and service delivery. 
    • Plan, coordinate, and execute firm-sponsored office events, meetings, celebrations, employee engagement activities, and initiatives; manage event logistics, budgets, vendors, catering, venue coordination, and on-site support to ensure professional and successful execution. 
    • Supervise, train, coach, and evaluate office administrative staff, including front desk and administrative coordinators, executive assistants, legal administrative assistants, and office coordinators. 
    • Establish performance expectations, provide ongoing feedback, and support the professional development of direct reports. 
    • Monitor staffing levels and allocate resources to ensure appropriate operational coverage across all office locations. 
    • Partner with Human Resources on recruitment, onboarding, performance management, employee relations matters, and workforce planning for supervised staff. 
    • Oversee all aspects of facilities management, including maintenance, repairs, furniture, equipment, office services, security systems, and building operations. 
    • Conduct regular inspections of office space to ensure facilities are safe, functional, well-maintained, and reflective of the firm's professional standards. 
    • Coordinate office renovations, relocations, reconfigurations, and workspace planning initiatives. 
    • Serve as the primary liaison with landlords, property managers, and building management personnel. 
    • Manage relationships with all office-related vendors and service providers, including cleaning services, maintenance contractors, office supply vendors, furniture vendors, shipping and courier services, security providers, and other operational partners. 
    • Negotiate and administer vendor contracts, service agreements, and renewals. 
    • Monitor vendor performance and ensure compliance with contractual obligations and service standards. 
    • Develop, manage, and monitor office operations and facilities budgets. 
    • Review and approve office-related expenditures in accordance with firm policies and budget parameters. 
    • Analyze operational expenses and identify opportunities for cost savings and operational efficiencies. 
    • Participate in annual budget planning and forecasting processes. 
    • Lead operational planning and execution for new office openings, office expansions, and office relocations. 
    • Coordinate all aspects of office opening projects, including space selection support, build-outs, furnishings, vendor coordination, occupancy planning, and operational readiness. 
    • Develop and manage project timelines and ensure completion of operational deliverables associated with office expansion initiatives. 
    • Collaborate with firm leadership and administrative departments to support strategic initiatives and organizational growth. 
    • Coordinate office logistics, including space planning, office moves, equipment deployment, and workplace services. 
    • Maintain high standards for office appearance, organization, and functionality across all locations. 
    • Support firm meetings, events, and workplace initiatives as needed. 
    • Ensure compliance with applicable building requirements, workplace safety standards, and firm policies. 
    • Prepare reports, analyses, and recommendations related to office operations, facilities, staffing, and vendor management. 
    • Travel regularly to firm office locations and prospective markets to provide operational oversight, support administrative teams, assess facilities needs, meet with local leadership, evaluate potential office sites, coordinate office expansion activities, and ensure consistent implementation of firm policies, procedures, and service standards. 
    • Manage special projects and perform other duties as assigned. 
    Required Qualifications & Experience
    • Bachelor's degree or equivalent combination of education and experience. 
    • Minimum of five (5) years of leadership experience in a law firm handling administration, legal operations, business operations, and professional services management. 
    • Minimum of seven (7) years of progressively responsible office operations, facilities management, and administrative management experience. 
    • Demonstrated experience managing multiple office locations. 
    • Proven success leading geographically dispersed teams and maintaining consistent operational standards, accountability, and service delivery across multiple office locations while collaborating effectively with local office leadership and firm management. 
    • Experience supervising administrative support staff, including receptionists, legal administrative assistants, and executive assistants. 
    • Experience managing facilities operations, landlord relationships, vendor contracts, and operational budgets. 
    • Experience leading office relocations, expansions, and new office openings. 
    • Ability and willingness to travel frequently, including travel related to multi-office oversight, vendor and landlord meetings, site selection activities, office openings, office expansions, relocations, and other firm business initiatives. 
    • Strong project management, organizational, and problem-solving skills. 
    • Excellent written, verbal, and interpersonal communication skills. 
    • Ability to exercise sound judgment, maintain confidentiality, and effectively manage competing priorities.
