Responsibilities
- Manage and optimize the executive's calendar, including scheduling, meeting preparation, and follow-up.
- Track commitments, deadlines, deliverables, and next steps to ensure timely completion of key initiatives.
- Draft, edit, and organize professional communications such as emails, memos, agendas, and meeting notes.
- Coordinate with internal and external stakeholders in a proactive and professional manner.
- Help prioritize the executive's time and attention around high-impact work.
- Maintain organized systems for documents, tasks, notes, and recurring workflows.
- Utilize AI and digital tools to enhance productivity, streamline processes, and improve clarity.
- Identify and implement process improvements to make workflows cleaner, faster, and easier to manage.
- Handle sensitive information with discretion and sound judgment.
- Create and maintain structure in a fast-moving environment where priorities may shift quickly.
Qualifications
- 5+ years of experience supporting a senior executive, founder, principal, business owner, or high-performing team.
- Must be based in Charlotte, NC, or able to work in person in Charlotte full-time.
- Exceptional organizational, communication, and executive support skills.
- Proven ability to manage follow-ups, deadlines, action items, and deliverables independently.
- Excellent writing and editing skills.
- High proficiency with digital tools and workplace platforms.
- Comfortable using AI tools for productivity, drafting, summarization, research, and organization.
- Demonstrated professionalism, discretion, and sound judgment.
- Strong ownership mentality, reliability, and attention to detail.
- Ability to remain calm and effective when priorities shift.
