Position Information

Hiring Department: Housing and Residence Life

Reports To: Assistant Director

Job Location: On-site; El Paso, TX

Hours: 40 hours per week, standard Monday- Friday 8:00am- 5:00pm, flexibility is required on evenings and weekends

FLSA status: Exempt

Earliest Start Date: As soon as possible.

Salary: $46,550 annually.

Position Summary

Under limited supervision, this position supports the department's initiatives to obtain and hold 100% occupancy. Supervised by the assistant director for operations, this position has strong customer service and administrative skills by using critical thinking and problem-solving skills.

Statement of Duties and Responsibilities:

Housing Assignments & Occupancy Management

Assist resident students with completing the housing contract.

Provide support to students as they navigate the housing application.

Assist with the resident assignment process, including student and family inquiries, self-selection, and administrative placement.

Ensure students living on campus are registered as full-time students throughout the academic year.

Collect and report "no-show" data to ensure an accurate account of occupancy.

Participate in the planning and execution of Orange and Blue Day, Operation College Bound, New Student Orientation, tabling's, presentations, tours and all other university recruitment efforts.

Coordinate the Contracts Appeal Committee, Damage Appeals Committee, and Meal Plan Exemption Committee.

Assist with the departmental planning and implementation of check-in and check-out processes.

Business Operations & Financial Administration

Manage the collection and return of all housing deposits.

Post cancellation fees to the student housing account.

Collaborate with the Finance and Administration staff to provide appropriate billing information for guests, including reconciliation of revenue, invoice generation, interdepartmental transfer requests, and access and familiarity with PeopleSoft software for financial oversight

Provide reports for the Assistant Director of Operations and Executive Director of Housing and Residence Life.

Manage the meal plan process including compliance, uploads, troubleshooting, and refunds.

Meet the needs of customers who are reserving meeting space in the department. Ensure proper room set-up and break-down for each scheduled usage.

Camps, Conferences, & Guest Services

Be the front-line staff member providing customer service, guidance, and support to all camps, conferences, and individual guests through the application, contract, and billing processes.

Maintain communication with guests regarding their stay. (Check-in, check-out, resources while they are on campus)

Develop and maintain summer camps and conferences points of contact, while managing and updating camp rosters and portfolio records to support effective summer camp operations

Manage linen inventory with the Maintenance Supervisor to ensure the required number of items are on hand for anticipated guests.

Develop and implement satisfaction surveys for camps, conferences, and individual guests staying overnight on campus.

Supervise Summer Conference Assistants (student staff).

Collaborate with Parking and Transportation to ensure the needs of the department and guests (including camps and conferences) are met.

Collaborate with the Assistant Director of Housing Facilities to ensure all spaces are appropriately cleaned and turned at the end of each stay and meeting space use.

Residential Community Administration

Manage the administrative needs of the residential community.

Maintain accurate records of all student keys for the department.

Prepare all administrative needs for the check-in and check-out procedures.

Place work orders for any keys that need to be repaired or replaced.

Assess damage bills for any keys that are lost/not returned.

Distribute temporary guest cards to residents if required.

Manage all lounge and conference room reservations.

Partner with Student Business Services, Center for Accommodations and Support Services, Athletics, Scholar Programs, Office of International Programs, Parking and Transportation, Sodexo, Miner Goldcard Office, and others

Other duties as assigned

Supervisory Responsibilities: Carries out supervisory responsibilities in accordance with the organizations objectives, policies and applicable laws.

Qualifications

Required Qualifications:

Education: Bachelor's degree from a four-year college or university within the area of assigned responsibility.

Experience: Three years of related experience to the statement of duties and responsibilities; or an equivalent combination of education and experience.

Applicant Must Demonstrate

Communication Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.

Reasoning Ability: Ability to apply common sense understanding and critical thinking to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills: Computer knowledge within the area of assigned responsibility preferred or the ability to learn.

Preferred Qualifications:

Bilingual (English/Spanish) preferred.
