PayBright is seeking a Senior Business Systems Manager to serve as the strategic and technical owner of our Zoho ecosystem.
This is a process-first, hands-on role for an experienced Zoho professional who can evaluate business needs, map complex workflows, design scalable solutions, and personally build the automations, integrations, dashboards, and applications required to support a growing organization.
As the primary architect of our Zoho One environment - including Zoho CRM, Desk, Analytics, Flow, and potentially Creator - you will partner with Sales, Operations, Support, Product, and company leadership to ensure our systems scale alongside the business.
This position requires more than maintaining an existing CRM. The successful candidate will establish system standards, improve data integrity, reduce manual work, lead technical projects from discovery through deployment, and take ownership of the long-term architecture of PayBright’s business applications.
The role may also support the development of internal and customer-facing Zoho applications, portals, and dashboards. While this position will coordinate certain basic systems-access and employee-onboarding responsibilities, its primary focus is Zoho architecture, development, automation, reporting, and business-process improvement. Advanced infrastructure, cybersecurity, and network support are handled in coordination with external IT vendors.
Key Responsibilities
Zoho Architecture and System Ownership
- Serve as the primary owner and internal subject-matter expert for PayBright’s Zoho One environment
- Establish and maintain a scalable architecture across Zoho CRM, Desk, Analytics, Flow, Creator, and other connected applications
- Define systems of record for agents, merchants, contacts, support activity, and operational workflows
- Evaluate the downstream impact of proposed changes before development begins
- Establish standards for development, testing, documentation, deployment, rollback, and change management
- Maintain the long-term health, reliability, security, and scalability of the platform
Workflow Design and Development
- Lead cross-functional discovery sessions and translate operational needs into technical solutions
- Map current-state and future-state workflows before implementing material system changes
- Design, build, test, and maintain workflows, Blueprints, validation rules, functions, automations, and approval processes
- Build custom Zoho functionality using Deluge, APIs, webhooks, Zoho Flow, and other integration tools
- Connect Zoho with third-party platforms, internal systems, vendor applications, and data sources
- Troubleshoot automation failures, integration errors, synchronization issues, and system conflicts
- Implement appropriate logging, monitoring, error handling, and notification processes
- Identify opportunities to eliminate manual work and improve consistency across the organization
Applications, Data, and Reporting
- Support the design and development of internal and external-facing Zoho applications, dashboards, and portals
- Establish appropriate user roles, permissions, authentication controls, and record-level access
- Ensure applications and portals are intuitive, scalable, secure, and maintainable
- Improve data quality, consistency, completeness, and ownership throughout the Zoho ecosystem
- Resolve duplicate records, conflicting information, broken relationships, and reporting discrepancies
- Develop dashboards and reports that provide leadership with timely, accurate, and actionable information
- Establish data-governance standards and ensure business-critical reporting can be trusted
Project Management and User Support
- Own the intake, evaluation, prioritization, and roadmap-planning process for business-system requests
- Define project requirements, dependencies, risks, milestones, testing plans, and expected outcomes
- Provide stakeholders with regular updates regarding project status, blockers, decisions, and timelines
- Maintain technical documentation, system maps, workflow diagrams, configuration records, and user guides
- Create training materials and support employees with system questions, access issues, and process guidance
- Facilitate Zoho and RingCentral account provisioning during employee onboarding and offboarding
- Coordinate basic systems access, laptop provisioning, and hardware inventory
- Serve as the internal liaison with external IT, infrastructure, and cybersecurity vendors
- Coordinate with outside developers when specialized resources are required while retaining internal ownership of the final solution
Requirements
Required:
- 5+ years of hands-on Zoho administration, architecture, development, or implementation experience.
- Advanced experience with Zoho CRM and meaningful experience with Zoho Desk, Analytics, Flow, or Creator.
- Working proficiency with Deluge scripting.
- Experience building complex workflows, automations, functions, approval processes, and reporting.
- Experience integrating Zoho with third-party systems using APIs, webhooks, middleware, or integration platforms.
- Strong understanding of data architecture, permissions, system governance, testing, and change management.
- Demonstrated ability to independently evaluate business processes and design scalable technical solutions.
- Ability to diagnose technical issues across interconnected systems and identify root causes.
- Excellent written and verbal communication skills.
- Strong project-management, organizational, documentation, and prioritization skills.
- A proactive and highly accountable approach to project ownership.
- Ability to balance hands-on development with strategic platform leadership.
Preferred:
- Experience building applications, dashboards, or external portals using Zoho Creator.
- Experience with Zoho CRM Portals, Creator Portals, or other external-user environments.
- Experience with JavaScript, SQL, HTML, CSS, or related technologies.
- Experience with middleware platforms such as Zoho Flow, Zapier, or Make.
- Experience managing data migrations, system consolidations, or complex integrations.
- Experience in payments, financial services, SaaS, sales operations, or another high-growth environment.
Schedule & Location
- Full-time (40 hours per week)
- Monday–Friday, with occasional weekend hours as needed
- The ideal candidate will work in our Raleigh, NC four days per week
