Title:Senior Business Coordinator

Starting Salary Range: The starting salary range for this position will be in the $25.58-$26.34 per hour range, depending on experience, education, and skills relevant to the position.  Please note that the indicated starting salary range describes the range for an incumbent in this position.  Most new staff generally start at the beginning of the range percentile to ensure internal salary equity.

Location: Fully Remote Eligible within the US. Preference given to those who are near a Conservation Legacy Office.

Status: Full-Time, Exempt

Position Summary:

 

The Senior Business Coordinator works closely with program Executive Directors (EDs) and other program staff to review, manage and process grants and/or agreements from execution to invoicing.  They also assist the executive directors with budget entry and updates of those grants and agreements

 

This position works as part of a team supporting programs in revenue management, improving systems and procedures, keeping up-to-date with compliance needs, collaborating with Accounts Receivable (AR) staff, and communicating with project partners where applicable for grants and agreements processing.

 

Outcomes & Functions of Position:

 

Agreement Development, review, processing and management

  • Assists program executive directors (EDs) with business-related documents needed for developing successful grants and agreements with project partners. These might include cost worksheets, budgets, cost presentation, and other partner forms.
  • Understands and keeps up to date with statutes, guidelines, best practices and red flags to assist ED in agreement review and execution, and to ensure finance and funder compliance.
  • Assists program staff in entering all needed records into Salesforce database associated with executed agreements. Ensure they are kept up to date with modifications or adjustments.
  • When applicable, enters agreement information into Grant Solutions or other necessary online sites. 
    Tracks and generates required reporting and deliverables.

 

Invoice generation, review, tracking

  • Sets guidelines for program staff to track and enter reimbursable expenses to be invoiced (in conjunction with finance procedures).
  • Generates invoices in Salesforce.
  • Reviews invoice details – checking timesheets, inclusion of complete and adequate data and noted information, dates and remaining funds.
  • Tracks overall agreement invoicing and funding status on a scheduled basis.
  • Reconciles invoices to actual expenses as needed to ensure proper invoicing and proper use of funds.
  • Communicates with partners as needed and assist finance in clearing AR aging.
  • Responds to AR/finance needs as requested

Program budget management, review

  • Assists EDs in yearly budget development, analysis, and regular working updates.
  • Develop, update and refine tools.
  • Works as a member of the business management team to constantly improve systems and procedures with particular focus on best practices, compliance needs, invoicing procedures, and communication between internal departments.

Organizational Advocacy

  • Successfully engages, leads and supports a positive work environment for all within the organization and the communities we serve.  
  • Leads and/or participates in organizational-wide teams, projects and initiatives that support the work of the Strategic Plans goals.
  • Reports any potential complaints within the organization as identified in the Personnel Policy Manual.
  • Assists or leads other responsibilities, as assigned.

Qualifications: 

  • Bachelor’s degree in finance, accounting, and/or business/nonprofit management plus 2-4 years of experience in business administration & finance management preferred OR 4-6 years of experience in business administration &/or finance management.

  • Experience with federal grants and agreement management.

  • Two or more years compliance experience.

  • Advanced or expert level MS Excel Proficiency.

  • Excellent attention to detail.
    Ability to operate Microsoft Office programs and applications, or similar platforms.  

  • Proficient in an array of business systems and software, databases, other technology.

  • Ability to keep others and oneself, in remote locations, accountable to expectations.

  • Valid Driver’s License and Insurable Driving Record per Personnel Policies.

  • Must be able to pass the organization’s criminal history check requirements.

  • Ability to successfully work in a fluid, changing work environment. 

     

Preferred Qualifications:

  • Previous experience with a Corps or youth serving organization.
  • Prior AmeriCorps grants and other government compliance management experience.
