JOB TITLE: Senior Bookkeeper and Client Intake Specialist (Remote) LOCATION: Remote (EST/CST preferred) or St. Petersburg, FL TYPE: Part-Time to start / Growth to Full-Time COMPENSATION: Competitive Hourly (DOE)
THE MISSION The biggest bottleneck for our firm isn't finding clients-it is moving them through the pipeline. We are looking for an organized, assertive Senior Bookkeeper and Workflow Specialist to take the reins of our operations and document pipeline.
This is a "get-it-done" role for someone who understands that a tax return or financial statement is only as good as the data collected. You will be the bridge between a signed contract and a finished return, ensuring the firm owner has everything needed to perform financial magic.
YOUR CORE RESPONSIBILITIES (THE WORKFLOW)
The Intake Engine: Shadow the owner on new client calls, then immediately take over. You will send the requests, manage the checklists, and own the communication.
Document Collection: You will be the point person hunting down Balance Sheets, Loan Statements, 1099s, and Leases.
Pipeline Management: Keep the CRM and back-office systems updated so the team knows exactly what is "Ready for Review" vs. "Waiting on Client."
QBO Mastery: Assist in ensuring client files in QuickBooks Online are organized and ready for the tax preparation phase.
THE TECH STACK Expertise or high proficiency in the following is required:
Accounting: QuickBooks Online (QBO) - Advanced User
Payroll/Admin: Gusto, ADP, Paylocity, Ramp
Professional Tools: Excel, Amex portals, and CRM workflows
WHO YOU ARE
The Senior Professional: You have a background in bookkeeping or tax admin. You can handle adjusting entries and understand the significance of a 1099 organizer.
The Organizer: You love a clean pipeline. If a document is out of place or a bank feed isn't mapped correctly, it bothers you.
The Communicator: You can nudge a client for their documents firmly but professionally. You make the client feel supported while keeping them accountable to deadlines.
The "Scale" Strategist: You want to help take a company to the next level by building systems that work.
THE GROWTH PATH This starts as a critical onboarding/intake role. However, for a candidate with a true Senior Bookkeeper or Ops Manager skillset, we are ready to expand the compensation and scope to include full-spectrum monthly financials, AR/AP, and systems infrastructure management.
HOW WE ONBOARD YOU We do not throw you in the deep end.
Week 1: Daily shadowing of the owner and process walkthroughs.
Week 2: Working through the software and client files together.
Week 3+: You take the wheel with weekly check-ins.
