The Senior EHS Administrative Assistant is responsible for providing secretarial services and administrative assistance for the day-to-day activities within the Safety department. This hybrid role - three days in office
Explore your tasks and responsibilities
- Supports the day-to-day operations for Safety department
- Provide administrative support to the Director of EHS
- Coordinates with the Director EHS - USA and the EHS Managers on scheduling and organizing meetings
- Implements and maintains filing systems for the office
- Provides suggestions to the management on the overall functioning of the office
- Manage digital platforms
- Manage metrics for U.S. projects
- Manage Director EHS expenses
- Manage Director EHS travel
- Hybrid role - three days in office
- EHS Program Coordination
- Provide day-to-day administrative support for enterprise EHS programs
- Coordinate documentation, maintain program records, tracking action items, and assisting with program implementation across supported business units.
- EHS Systems & Data Administration
- Maintain EHS management systems - users, project locations, user access, labor hours, SBOs
- Maintain incident records
- Incident Reporting & Documentation Support
- Support the incident reporting process
- Maintain house OSHA logs
- Laise with insurance carrier for workmen's comp
- Training & Communication Administration
- Coordinate EHS training assignments
- Distribute OSHA certification cards
- Compliance & Reporting Support
- Assist with customer prequalification submissions, contractor management systems, compliance documentation, monthly reporting, dashboards, and other recurring EHS administrative requirement
- Administrative & Operational Support
- Not all inclusive as the roles is dynamic
- Other duties as assigned
Show your expertise
- High School Diploma or GED required
- 5+ years of experience
- Knowledge of safety and health regulations preferred
- Strong knowledge of Microsoft products (e.g. Word, Excel, Power Point, Outlook, etc.)
- Communication skills, including writing and verbal skills to interface effectively with all levels of leadership and staff
- Ability to work efficiently and possess excellent time management skills
- Outstanding organizational skills and be detail oriented
