Primary Purpose:
Facilitate the efficient operation of the school office and provide clerical services to the principal.
Qualifications:
Education/Certification
- High school diploma or GED
Special Knowledge/Skills:
- Proficient keyboarding and file maintenance skills
- Ability to use software to develop spreadsheets, databases, and do word processing
- Ability to maintain accurate and auditable records
- Knowledge of basic accounting principles
- Ability to follow verbal and written instructions
- Ability to perform a variety of tasks often changing assignment on short notice
- Effective organizational, communication, and interpersonal skills
Preferred Experience:
- Three years of successful secretarial or clerical experience preferably in a related field
- Proficient in English and Spanish
- Experience on TEAMS Software
Major Responsibilities and Duties:
Records and Reports
- Organize and manage the routine work activities in the school office.
- Order and maintain supplies.
- Prepare campus communications, correspondence, forms, manuals, reports, purchase orders, and payment authorizations following district standards and requirements.
- Maintain office files.
- Compile, maintain, and file all reports, records, and other documents as required. Maintain student records according to established procedures.
- Maintain and monitor budget process.
- Follow procedures to handle petty cash disbursements.
- Make appointments and maintain office calendar and school calendar.
Reception, Phones and Correspondence
- Receive incoming calls, take reliable messages, and route all to appropriate staff.
- Compose letters and memos as directed.
- Provide excellent customer service to all students, staff, parents, and community members.
- Maintain inventory of fixed assets, equipment, and supplies.
Other
- Assist with planning, preparation, and setup of faculty meetings and campus activities.
- Sort, distribute, or deliver mail and other documents.
- Administer medication to students, check temperatures, and notify parents of student illness in nurse's absence.
- Maintain confidentiality.
