General Description

To provide prompt and dependable clerical, typing, and data entry support and perform a variety of office tasks for the assigned department. This position is under general supervision and is responsible for clerical and typing work involved with the daily operation. Decisions are on a routine level and the job requires the incumbent to have some contact with the public. Possibly working with many different records and/or forms, receives and prepares information for further processing or record keeping.

Examples of Work Performed

Acts as receptionist; answers telephone and provides general information.

Collects statistical or other information, reviews, verifies or corrects, and completes a record form, then routes for further processing or files the record or form.

Opens mail; sorts, routes or files correspondence or forms.

Types routine correspondence, form letters, requisitions, vouchers, lists and tables.

Periodically may prepare requests for travel, purchase requisitions, related vouchers, inventory transfers, or similar documents.

Must attend all trainings deemed necessary by Executive Director to comply with Child Care Minimum Standards and Head Start/Early Head Start Performance Standards.

Assists on other assignments in the department when requested.

Uses computer to process work of the department.

Keeps record of calls from department staff when out on sick leave.

Perform other duties as assigned by the immediate supervisor or Executive Director.

Education and Experience

Must have a high school diploma or its equivalent.

Must be Bilingual (English/Spanish proficient).

Must have basic knowledge of clerical and office duties.

Must type accurately and have the ability to deal with the public in a tactful and diplomatic manner.

Some experience is preferable, but can be accumulated during 2 to 6 months employment in the position.
