Seasonal Events Assistant

 

Scope & Purpose

 

The Seasonal Events Assistant will play a crucial role in supporting the preparation, execution, and cleanup of events at Community First! Village including our biggest event of the year Village of Lights. The position is designed to assist with various event related tasks and on-site support, ensuring a smooth and enjoyable experience for all attendees, volunteers, and staff. The ideal candidate is detail-oriented, a team player, and able to manage multiple tasks simultaneously.

 

This is a seasonal, part-time, non-exemptposition reporting to the Events & Hospitality Manager.Due to the nature and requirements of the position, placement will run from June through January, with a time commitment of approximately 25 hours per week. The preferred schedule of this role is Tuesday-Wednesday 9AM-5PM and Thursday 9AM-1PM. It is required that the candidate is available to work on the following days: September 18-19, December 3-5, and December 10-12. Some nights and weekends may be required.The Seasonal Events Assistantwill officeat Community First! Village locatedat 9116 Hog Eye Road, Austin, TX 78724.

 

Duties & Responsibilities

  • Temporarily join the MLF team from June through January
  • Regular day-of assistance with onsite events including setting up and tearing down food, tables, chairs, trash,etc.
  • Promotional work for Community Cinema Events – Mailchimp, Eventbrite, social media, Canva design, event calendars, etc.
  • Research venues and vendors for upcoming events
  • Lead volunteer groups in various event specific tasks
  • Assist with various Village of Lights and other large event-related tasks.
  • Create and manage QR codes for event use.
  • Conduct inventory of event décor and supplies and organize on a regular basis(e.g., traffic vests, light wands, firepit supplies, etc).
  • Assemble supplies for both volunteers and staff.
  • Help create and put up signage around the event site.
  • Charge and prepare essential event tech equipment (walkie-talkies, iPads, etc.).
  • Learn Asana (task management software) and assist in managing various event boards
  • Perform administrative tasks as needed to support event coordination.
  • Aid in post-event tasks, including inventory, cleanup, and storage of event materials.
  • Other duties & responsibilities as needed

 

Knowledge, Skills, Abilities & Principles

  • Strong organizational skills with the ability to manage multiple tasks.
  • Detail-oriented with a focus on ensuring smooth event logistics.
  • Ability to work both independently and collaboratively with a team.
  • Excellent communication skills, both written and oral.
  • Proficient in the use of technology, including Microsoft Office Suite and Asana.
  • Previous experience with event support preferred but not required.
  • Must have a valid driver's license

 

Work Environment & Physical Demands

  • Must be able to easily lift 30 lbs. on a regular basis.
  • Ability to stand, climb, stoop, kneel, or crouch, to reach with hands and arms, and to move about all phases of the CFV property.
  • Willingness to work outdoors and engage in physical tasks such as event setup and teardown.
