Interim HealthCare of Las Cruces, NM is seeking a Scheduling & Quality Assurance Coordinator to serve as the operational hub of our office - managing caregiver and client scheduling, staffing the front desk, and supporting quality assurance through file audits and onboarding. This is a hands-on, detail-driven role suited to someone who already understands home health/home care operations and can move fluidly between scheduling, compliance, and client-facing work in the same day.

Responsibilities

  • Scheduling

  • Build, adjust, and maintain caregiver schedules to ensure full shift coverage for all active clients.

  • Manage last-minute call-offs, shift swaps, and emergency coverage.

  • Match caregivers to clients based on skill set, availability, and client preference.

  • Maintain accurate scheduling records in AxisCare.

  • Client & Caregiver Support

  • Serve as point of contact for incoming calls, greeting callers and visitors professionally.

  • Route calls and inquiries to the appropriate team member.

  • Support client and caregiver questions related to scheduling, visits, and general office needs.

  • Assist with day-to-day administrative and office coordination tasks.

  • Quality Assurance

  • Audit caregiver and client files for completeness, accuracy, and compliance with state and agency requirements.

  • Review visit documentation and EVV (Electronic Visit Verification) records for accuracy and timely submission through AuthentiCare.

  • Flag documentation gaps, missed visits, or compliance issues to leadership.

  • Support internal audit preparation and survey/inspection readiness.

  • Onboarding Support

  • Assist with new caregiver onboarding - paperwork, orientation scheduling, and file setup.

  • Help ensure new hire files are complete and audit-ready before a caregiver's first shift.

  • Coordinate with HR/admin staff on onboarding timelines and documentation.

Requirements

  • Prior experience working in a home health or home care agency setting - highly preferred.
  • Experience with AxisCare scheduling/EVV software - highly preferred.
  • Experience with AuthentiCare (NM Medicaid EVV aggregator) - highly preferred.
  • Strong organizational skills and comfort managing multiple priorities (phones, scheduling changes, and file review) in the same shift.
  • Clear, professional phone and in-person communication.
  • Attention to detail, particularly around documentation and compliance.
  • Comfortable with basic office software (email, scheduling platforms, document review).
  • Preferred Qualifications:
  • Familiarity with New Mexico Medicaid home care compliance requirements.
  • Prior experience in a quality assurance, auditing, or compliance-adjacent role.
  • Bilingual (English/Spanish) a plus given the Las Cruces/El Paso service area.
