Position Summary
Digestive & Liver Disease Consultants (DLDC) is seeking an experienced Scheduling Manager – Gastroenterology to oversee back-office scheduling and patient access operations. The ideal candidate will have extensive experience in a high-volume private medical practice, strong gastroenterology experience, and hands-on expertise with eClinicalWorks (ECW). This position requires someone who can independently manage scheduling workflows, referrals, provider schedules, staff performance, and digital patient access while continuously improving operational efficiency.


Roles & Responsibilities
  • Oversee daily back-office scheduling operations and ensure timely completion of scheduling activities.
  • Manage high-volume patient scheduling through telephone, web scheduling, Healow Patient Portal, and other digital appointment channels.
  • Oversee incoming patient calls, scheduling inquiries, portal messages, and appointment requests.
  • Manage referral workflows, patient outreach, follow-ups, and timely conversion of referrals into scheduled appointments.
  • Maintain physician and nurse practitioner scheduling templates, including template changes, blocked schedules, provider time off, and patient rescheduling.
  • Optimize provider schedules by monitoring cancellations, no-shows, open appointment slots, and scheduling backlogs.
  • Verify insurance eligibility and benefits and identify issues that may affect appointments or procedures.
  • Provide patient estimates and coordinate applicable patient collections.
  • Coordinate post-hospital follow-up appointments and obtain required hospital documentation.
  • Maintain physician call schedules and coordinate with the answering service.
  • Manage daily scheduling/front-office staffing coverage based on patient volume, provider schedules, and staff availability.
  • Maintain staff time-off calendars and review employee timecards as needed.
  • Train, supervise, and support scheduling and front-desk staff on ECW workflows, scheduling processes, and patient service standards.
  • Monitor staff productivity, referral and scheduling queues, unresolved patient requests, and workflow completion.
  • Reconcile daily front-desk cash batches, prepare deposits, and process applicable credit-card voids and adjustments in ECW.
  • Identify workflow gaps and implement improvements to scheduling, referral management, and patient access processes.
  • Effectively utilize digital health and patient-access tools, including online scheduling, patient portals, automated patient communication, and digital appointment workflows.
  • Provide hands-on scheduling support when necessary to maintain efficient operations.
Qualifications
  • 8–10 years of experience working in a private medical practice required.
  • Gastroenterology experience required.
  • Strong hands-on eClinicalWorks (ECW) experience required.
  • Strong experience with physician scheduling, referrals, patient access, and back-office workflows.
  • Experience working in a high-volume, multi-provider medical practice preferred.
  • Supervisory, lead, or management experience strongly preferred.
  • Strong understanding of digital health and digital patient-access workflows, including online appointment scheduling, patient portals, automated communication, and digital patient engagement.
  • Ability to evaluate existing workflows, identify inefficiencies, and implement process improvements.
  • Strong leadership, accountability, organizational, and problem-solving skills.
  • Ability to independently manage priorities and adapt to changing operational needs in a fast-paced medical practice.
