Job Description Summary
Scheduling Coordinator represent Central Wide Scheduling at South Shore Hospital by answering live telephone callsprofessionally, accurately, and efficiently. CWS will provide callers with exceptional customer service anddemonstrate call control while maintaining a high level of professionalism with each interaction. CWS schedules,takes and verifies insurance information and request pre authorizations as necessary

JOB REQUIREMENTS
Minimum Education - Preferred
Equivalent to high school curriculum preferred
Minimum Work Experience
Customer service experience required. Healthcare experience preferred.
Required additional Knowledge, and Abilities
Ability to thrive in a fast-paced medical environment.
Excellent spelling, communication and grammar skills.
Maintain the ability to multi task and toggle between multiple screens seamlessly.
Knowledge of typing/data entry (30 wpm), and working knowledge of Windows / Microsoft Office Suite.
Medical Terminology knowledge preferred.
ESSENTIAL FUNCTIONS

1 - Demonstrates knowledge of booking appointments for services at South Shore Hospital (SSH). Booking
may be done with the patient, physician or physician staff and may be done by telephone or fax.
a - Is proficient when scheduling, re-schedule/cancel patients in the computer.
b - Will insure that caller has a clear understanding of test and any preps that are necessary.
c - Is efficient verifying demographics and making necessary changes if needed.
d - Utilize insurance software to verify insurance.
e - Able to run and work off of applicable reports.
f - Provide training as needed to assist the team.
g - Establishes proper identity of Patient from caller by using 3 sources of identification
2 - Responsible for all pre-certification, eligibility and verification of benefits on all accounts.
a - Utilize on line tool efficiently for the purpose of verifying insurance.
b - Can effectively enter all insurance information into Meditech.
Meditech.
c - Retrieves authorizations as necessary
3 - Can locate and identify the correct Provider utilizing Meditech
a - If Provider is not in the system. Scheduler will enter new Provider information into notes for the purpose of
updating the Provider dictionary.
b - Knows how to confirm the Provider is on Staff at South Shore Hospital
4 - Technology – Embraces technological solutions to work processes and practices.
a - Demonstrate full knowledge of utilizing Department computer programs.
b - Able to function and have a complete understanding of computer downtime process.
c - Able to review and analyze Amtelco, Meditech, IntellaSource, and Passport programs.
d - Manage own timecard responsibilities.
e - Able to utilize the phone system, including VERA system.
f - Ensures accurate messaging/paging information by confirming spelling of callers first/last name, phone
number, DOB, and primary care physician.
5 - Safety Awareness – Fosters a “Culture of Safety” through personal ownership and commitment to a safe
environment.
a - Adheres to patient identification policies/procedures.
b - Adheres to universal precautions and respiratory etiquette guidelines.
c - Understands individual roles/responsibilities during hospital codes (e.g. Code Disaster, Code Red).
d - Understands role in Department specific plan for emergency preparedness
e - Knowledge of SNAP communication tool, ability to activate, track response and ability to educate end-users on
use.
f - Mastery of Red Alert activation/monitor alert response and update appropriate person as needed dependent
upon code type.
6 - Customer Service
a - Is competent with all aspects of Customer Service.
b - Is able to help all internal and external patients utilizing the Customer Service skills learned in Training.
c - Knows when to escalate a difficult situation to Management.
d - Must demonstrate knowledge of Customer Service skills by passing training programs
7 - Actively participates in Information Center Continuing Education programs
a - Attends monthly continuing education sessions
b - Completes all associated measurement tools and learning exercises
c - Completes all monthly emergency preprardenes education tasks
d - Under the guidance of the manager and Customer service trainer participates in feedback programs to further
develop customer service skills
