REPORTS TO: Sales Support Team Lead – USA
LOCATION: Remote, any state
POSITION SUMMARY
We're looking for a proactive and customer-focused Sales Support Specialist to serve as a key point of contact for customers and sales reps, ensuring orders move smoothly from entry to shipment. This role combines platform expertise (NuOrder & NetSuite), sharp problem-solving, and cross-team coordination to keep the order-to-shipping pipeline running efficiently and customers well-informed. You'll work closely with sales, product, and operations teams — resolving issues, tracking key metrics, and helping build a service structure that supports accounts at the highest level. This is a great fit for someone who's detail-oriented, enjoys troubleshooting, and takes ownership of continuous improvement.
Essential Functions:
Key responsibilities include, but are not limited to:
Ensuring the smooth and accurate execution of order entry, including the correct application of discounts and commissions.
Become a NuOrder & NetSuite “ninja”, to provide customers and reps with support in using the platform to manage their business with greater independence.
Provide timely and helpful responses to customers and sales reps, moving them from problem to resolution with minimal stress.
Be proactive in identifying recurring issues and elevating these issues to the broader operations team so they can be prevented in the future
Be proactive in staying in touch with what’s going on with our brands from the standpoint of marketing, social and PR, so you can share newsworthy updates about the growth of the brands customers are buying from us.
Prepare and research return authorization requests from customers
Prepare and research short shipment/over shipment requests from customers
Communicate daily with product and sales teams to ensure that pertinent information about order changes, delays or new opportunities are being channeled out to the reps and customers.
Assist product managers with identifying sales and customer trends
Work with colleagues on Sales Support Team to ensure maximize efficiencies with processes and daily activities.
Attend regular meetings with department staff to discuss expectations and address team concerns.
Work with the team to coordinate effectively with both sales and operations, to ensure the timely movement of business from order to shipping.
Plan and track progress of customer order pool and other key customer service metrics.
Familiarize yourself with, use, and maintain regular reporting tools for stakeholders regarding the progress against milestones and targets.
Develop efficient structure for servicing accounts at the highest level.
SKILLS AND EXPERIENCE:
2+ years of experience in customer service, sales support, order management, or a related role (industry-specific experience in apparel, wholesale, or consumer goods a plus)
Experience working with order management or ERP systems (NuOrder, NetSuite, or similar platforms strongly preferred)
Experience handling return authorizations, shipment discrepancies, or similar order-resolution processes
Demonstrated success working cross-functionally with sales, product, and operations teams
Experience tracking and reporting on customer service metrics or KPIs
Familiarity with brand marketing, social media, or PR a plus, with interest in staying current on brand news and growth
Strong verbal and written communication skills, with the ability to de-escalate and resolve issues efficiently
High attention to detail, particularly with order accuracy, discounts, and commission application
Proficiency (or ability to quickly become proficient) with NuOrder, NetSuite, or comparable order management/CRM platforms
Strong organizational skills and ability to manage multiple priorities and deadlines
Analytical mindset, with comfort using reporting tools to track metrics and progress against targets
Proactive, solutions-oriented approach to identifying and preventing recurring issues
Collaborative team player who works effectively across sales, product, and operations functions
Customer-service orientation with a focus on building trust and independence for customers and reps
Foundational AI literacy, including experience using generative AI tools, and a proactive mindset to experiment with new technologies to drive productivity and innovation.
