Sales & Project Coordinator – Panaz USA

Panaz USA is seeking a highly organized and proactive Sales & Project Coordinator to join our growing team in Orlando. This role is ideal for someone who has previous sales experience, thrives in a fast-paced environment, enjoys working across teams, and is passionate about supporting our sales and marketing projects.
Key Responsibilities
Sales Support & Client Management
· Work closely with the National Sales Manager to support the full sales cycle, from initial enquiry through to project completion in order to grow market share.
· Assist in securing new sales opportunities while ensuring existing clients receive a high level of service and ongoing support.
· Act as a key point of contact for specific emails, messages, and communications, directed at the National Sales Manager, responding promptly to queries and providing accurate, timely information.
Business Development & Market Research
· Research new market opportunities, industries and potential clients to support business growth and increased market share.
· Monitor competitor activity and market trends, providing insights and feedback to the sales team where relevant.
· Support lead generation activities and maintain an organised pipeline of potential opportunities.
Administration & CRM Management
· Maintain accurate and up‑to‑date client records, contact lists and sales documentation, using CRM systems where applicable.
· Ensure all client communications, proposals and project details are recorded correctly and in line with company processes.
· Assist with sales reporting, administration and documentation required by the National Sales Manager.
What You’ll Do
Project Coordination
· Monitor project timelines and communicate with VP in monthly meetings regarding active and lost projects.
· Prepare and maintain project documentation and reports using Hubspot and other platforms.
· Provide monthly project updates to the Sales Manager for stakeholder reporting.
· Support collaboration between team members during joint sales efforts.
· Liaise with internal teams and external partners on orders, deliveries, claims, and returns.
Sales & Administrative Support
· Use internal sales data to share insights with sales agents, partners, and the National Sales Manager.
· Create and maintain sales manuals and customer training materials.
· Create and maintain CEU’s specific to fabric usage in the contract setting.
· Organize and coordinate sales meetings and virtual events across national and international teams.
· Assist with planning and execution of trade shows, exhibitions, and marketing events in the U.S. with coordination from the UK headquarters.
· Develop and update sales tools and resources to ensure the team is equipped to promote Panaz products effectively.
· Work with media partners to support brand visibility through events, networking, and customer engagement.
· Schedule and manage communications for trade shows and NEWH events.
· Support business development and CSR initiatives including hosting events, student outreach, and charitable activities.
· Curate media content for Panaz USA’s social media channels.
· Research new product releases from the U.K. and coordinate with U.S. teams to ensure readiness and marketing support.
· Maintain and communicate discontinued product lists to sales agents and partners.
· Perform other duties as assigned to support sales growth and development.

· Previous experience in internal or external sales.
· Strong judgment and initiative in qualifying and distributing information.
· Excellent communication, organizational, and multitasking skills.
· A collaborative and engaging approach with a good understanding of digital branding and event coordination.
· Desire to learn and continuously improve.
· Able to work independently with limited supervision
