Onsite Flexibility: Hybrid Onsite once per month

  • Pay Rate: $32.31 $41.98 / Hour (USD)
  • Overtime: Yes, on an as-needed basis (approximately 5 hours per week depending on volume)

Job Summary

The Sales Operations Specialist is responsible for optimizing daily sales operations activities and performance of the business for the department. The Specialist takes on advanced responsibilities such as contract management, marketing coordination, internal trainings/presentations, and other special projects. This position is responsible for working across multiple functions to ensure superior operational coordination and development of work flows and desktop procedures in collaboration with internal and external departments. Responsible for the oversight of event compliance reporting to Regulatory Affairs and Compliance. The Specialist ensures all events according to product lines meet the regulatory requirements for marketing activities. Lead and collaborate with sales management on the purchase and maintenance of marketing promotional items and equipment for all sales activities. In addition, collaborates with Marketing to fulfill sales marketing material in multiple languages, mailers, and flyers. The Specialist interacts with directors, managers, and supervisors within the department and in other organizational departments. This position is responsible for primary product lines that includes Medi-Cal, Medicare products, and Covered California.

Key Responsibilities

  • Develops and maintains work plans, schedules, communication, tracking tools, and meeting notes for all assigned projects in assisting Sales Leadership team.
  • Schedules and leads meetings, prepares agenda and presentations, collaborates with identified staff from various departments and works jointly to effectively develop, present ideas, conduct research, and complete projects.
  • Manages projects such as the annual sales/marketing material review and collaborates with key stakeholders; submits revisions through Podio approval for internal and regulatory review and approvals.
  • Manages the department's contracts, pricing, technical requirements, scope, and terms; recommends contract changes, process renewals, including major revisions, and coordinates the preparation and final negotiation of change orders, supplemental agreements, price re-determination, memos, etc. affecting the life of the contract.
  • Ensures compliance with regulatory and company requirements; conducts internal and external research and analysis.
  • Tracks and manages various budgets such as project budgets and prepares financial analysis reports for management.
  • Administers the promotional enterprise budget to achieve stakeholders' marketing and promotional objectives; and sales budgets for event expense prepaid card, work wear, supplies, and equipment.
  • Validates monthly variance reports and confirms/assigns the expense allocation to the correct cost center, provides forecast and other reports.
  • Responsible for purchasing promotional products, equipment, workwear, and maintaining inventory for sales and other departments.
  • Responsible for identifying vendors, communicating with vendors when samples, quotes, and research requests are needed to place orders.
  • Collaborates with Marketing and ensures alignment and approval of the overall branding, and maintains the repository portals (L.A. Care Shop).
  • Negotiates and purchases promotional products within finance guidelines in procurement.
  • Leads the logistic and development implementation of event operations (sponsorship events); venue requirements, event management.

  • Coordinates and organizes along with sales management recurrent or new events from concept to completion, ensuring they operate smoothly and efficiently.
  • Collaborates with internal and external stakeholders to identify and create opportunities for cross-company sponsored events.
  • Administers and reports all marketing outreach scheduled events for the department, including the events from contracted agents; ensures that events meet regulatory compliance, are aligned with the business requirements, and event expenses are approved by the director(s).
  • Responsible for preparing, finalizing, and sending the monthly event calendar to the organization to internal and external stakeholders.
  • Coordinates the annual policy and procedure review, desktop procedure review, and collaborates with subject matter experts (SMEs).
  • Compiles, prepares, and presents reports for weekly, monthly, quarterly, and annual submissions; produces reports for audits and marketing plans.
  • Performs other duties as assigned.

Required Skills

  • Excellent analytical, written and verbal communication, and presentation skills in order to work cross-functionally in executing projects.
  • Must have strong presentation skills to any level; ability to present information to a diverse audience in a concise and thorough manner.
  • Strong MS Office skills (Word, Excel, PowerPoint); knowledge of sales database tools (Goldmine, Salesforce, NICE, Access).
  • Ability to work independently; flexible with work hours (evenings and/or weekends).
  • Knowledge of handling general office equipment.
  • Knowledgeable in sales, compliance, and marketing strategy to ensure ability to execute projects.
  • Experience with Salesforce, Medicare, and data entry.

Preferred Skills

  • Knowledge of Medicare and senior market, Medi-Cal.

Education Requirements

  • Associate's Degree required; in lieu of degree, equivalent education and/or experience may be considered.
  • Bachelor's Degree preferred.
  • Annual Sales Product trainings and compliance required trainings.

Required Experience

  • Minimum of 4 years of experience in sales, marketing, event planning, and promotional purchasing, preferably in a health care environment or related field.
  • Contract management experience.
  • Sales and Marketing compliance experience.

Nice-to-Have Experience

  • Experience in health care products or sales.
  • Experience with sales teams and sales partners.
