The Sales Operations Assistant position is of extreme importance and value to the success of the Sales team. It is the Sales Operations Assistantâs duty to support the Sales department by managing data, preparing reports, and optimizing processes for efficiency.
Strategy planning and varied administrative tasks are expected to contribute to the Sales teamâs overall business.
Key Responsibilities
Reporting/Analytics
- Compile data to track sales team results versus weekly, monthly, and quarterly goals
- Create and distribute reports on a daily and weekly basis
- Create and manipulate reports in Excel and similar platforms for Sales Managers
- Support Managers during Quarterly Reviews by preparing and presenting all relevant data to analyze Sales Rep's success
- Meet with Sales Managers to provide any organizational or back-end support needed to reach goals
Coordination/Event Planning
- Work alongside Sales Manager to execute prospecting/client appreciation events
- RSVP management and CRM Tagging for events
- Create RSVP links for any events that require registration and track responses
CRM Support
- Respond to updates requested on CRM contacts
- Track weekly activities through CRM (number of phone calls, emails)
- Assist with maintenance and troubleshooting of CRM
Onboarding Support
- Plan training schedules for any new Sales employees
- Coordinate with Sales Manager and/or VP of Sales regarding onboarding strategy
- Host training sessions on Patten processes
- Work with new Sales employees and CRM Manager to import new client lists into CRM
- Schedule ongoing training for Sales Tools and educational resources
Cross Departmental Collaboration
- Engage with IT, Marketing, Escrow, and any other departments when needed
- Collaborate with Open Orders team to confirm accuracy of deal details
- Progress CRM projects and optimizations with CRM Manager
Requirements
Problem solving, organization, rapid decision-making, confidence, creativity, and a self-starter attitude are a must in this role. Excellent time management skills are required as there will be a wide variety of duties at hand, ranging from large to small projects.
Knowledge and experience within Real Estate/Title Industry a plus.
