Position Summary

Under the direction of the Director of Sales, the Sales Department Administrative Assistant provides administrative, reporting, and operational support across the company’s three sales departments. This role also supports the Equipment & Supply and Bid departments with order processing, project setup, reporting, documentation, and related administrative activities.

What You Will Be Doing

General Sales & Office Support

  • Provide administrative support to the Director of Sales and assist with sales department-related tasks and projects.
  • Create, run, and maintain reports using company business intelligence and reporting tools as required.
  • Organize and summarize sales and operational information for department leadership.
  • Order office and department supplies through approved company vendors for internal and Account Executive use.
  • Maintain supplies for the JFS kitchen and breakroom.
  • Maintain organized records, files, reports, and other sales department documentation.
  • Perform additional duties as assigned, delegated, or required to support Sales operations.

Equipment & Supply Department Support

  • Assist the Equipment & Supply Department with special orders, purchase orders, price quotes, and related administrative activities.
  • Coordinate equipment and project setup, purchase orders, and warehouse receiving processes in support of the E&S team.
  • Assist with creating new JFS numbers for equipment and project requests.
  • Enter, update, and maintain equipment and project information accurately within company systems.
  • Track equipment and project requests and maintain accurate supporting records and documentation.

Bid Department & Bid Administrator Support

  • Assist with preparation of bids as requested by the Bid Administrator.
  • Perform research and prepare reports for the Bid Administrator and Director of Sales.
  • Prepare bid recaps and related documentation.
  • Assist with audits and the research and resolution of billback discrepancies.
  • Support GPO contract implementation and related reporting requirements.
  • Prepare bid-related write-ups and maintain organized supporting documentation and files.

Education & Experience

  • Associate degree or certificate from a college or technical school, relevant administrative or sales support experience, or an equivalent combination of education and experience.
  • Ability to quickly learn new systems, processes, reporting tools, and company procedures.
  • Ability to develop a strong understanding of company operations and the foodservice industry.
  • Ability to generate, organize, analyze, and summarize sales and operational information for department leadership.

Computer & Reporting Skills

  • Demonstrated proficiency with Microsoft Word, Excel, and Outlook.
  • Ability to learn and effectively use internal systems, including AS400, business intelligence tools, reporting applications, and other company systems.
  • Ability to maintain accurate electronic records, reports, project information, and supporting documentation.
  • Strong attention to detail when entering, reviewing, and maintaining data.

Communication & Organizational Skills

  • Ability to read, understand, and follow business procedures, written instructions, reports, and company documentation.
  • Ability to prepare routine reports, correspondence, summaries, and other business communications.
  • Ability to communicate professionally with customers, Account Executives, supervisors, managers, vendors, and employees across departments.
  • Ability to organize and prioritize multiple assignments, deadlines, requests, and department needs.
  • Ability to work independently on routine responsibilities while seeking guidance when appropriate.

Mathematical & Analytical Skills

  • Ability to calculate and review figures such as discounts, commissions, proportions, percentages, pricing, and other sales-related amounts.
  • Ability to review data for accuracy and identify discrepancies or unusual results.
  • Ability to interpret sales and operational reports and summarize relevant information for department leadership.

Problem-Solving Skills

  • Ability to solve practical problems and address routine administrative or operational issues.
  • Ability to interpret instructions provided in written, verbal, diagram, or schedule form.
  • Ability to research discrepancies, gather supporting information, and communicate findings to the appropriate team member or manager.

Physical Requirements

  • Regularly required to sit, communicate, and perform computer-based administrative work.
  • Frequently required to use hands and arms for keyboarding, handling documents, and other office tasks.
  • Occasionally required to stand, walk, reach, bend, or move throughout office and department areas.
  • Occasionally required to lift and/or move items weighing up to 25 pounds.
  • Ability to perform the essential functions of the position with or without reasonable accommodation.

Work Environment

Work is performed primarily in a professional office environment with regular use of computers, telephones, email, reporting systems, and other office equipment. The position regularly interacts with the Sales, Equipment & Supply, Bid, Warehouse, and other departments in support of business operations.
