Summary

The Sales Coordinator, under the direction of the Vice President of Sales, is responsible for supporting the sales and product teams through accurate quote generation, order review, administrative coordination, and maintenance of key commercial and product tools. This role ensures that sales activities progress efficiently from quotation to fulfillment while maintaining exceptional administrative accuracy and providing strong support to Product Managers and Sales team.

Essential Functions

The duties listed below are the specific duties and tasks that someone in this position must accomplish. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the level and/or class of this position.

Quote Generation and Management
• Generate and distribute quotations for new machine sales to Sales team.
• Prepare quotations for aftermarket accessories and customer requests not classified as spare parts.
• Maintain and update quotation records to ensure accuracy, version control, and accessibility.
• Ensure quotation content aligns with approved configurations, pricing structures, and commercial terms.
• Other duties as assigned by management.

Sales Order Review and Processing
• Review all incoming sales orders for accuracy, completeness, and compliance with internal policies and commercial guidelines.
• Create and release sales orders within the SAP system, ensuring proper documentation and coding.
• Assist Sales, Logistics, Administration, and other teams to resolve order-related issues.
• Ensure accuracy and consistency of administrative data supporting the sales process.
• Other duties as assigned by management.

Supporting Product Managers and Commercial Operations
• Assist Product Managers with administrative tasks tied to the completion, maintenance, and periodic updating of pricing matrices.
• Maintain price matrix documentation to ensure alignment with factory updates, commercial policies, and product changes.
• Coordinate with Product Managers on machine configuration updates and commercial documentation improvements.
• Support the ordering of machines for stock, ensuring accurate documentation, internal alignment, and timely processing.
• Facilitate coordination between the Sales organization and the Product Managers, ensuring accurate communication regarding product specifications, delivery timing, and stock machine planning.
• Other duties as assigned by management.

Other Administrative Responsibilities
• Maintain document control, filing, and administrative records in accordance with company standards.
• Manage administrative follow-up including customer correspondence, documentation exchanges, and complaint handling.
• Ability to travel up to 15% as required by management.

Qualifications

• High School Diploma or equivalent required, Bachelor's degree or equivalent preferred
• Minimum of three (3) years of experience required in an administrative or a coordinator position, preferably in a sales-related role
• Must be highly proficient with Microsoft Office Suites, specifically with Microsoft Excel - Pivot Ta
