The onsite Sales Coordinator based at our corporate office in Broomall, PA, will play a key role in supporting the efficiency and success of our sales organization. This position requires a highly organized, detail-focused, and technically capable individual who can manage multiple priorities while maintaining accuracy and consistency. As a central resource for the sales team, the Sales Coordinator will oversee day-to-day administrative responsibilities, maintain critical information within the company’s operating system, and help ensure sales processes are executed smoothly and efficiently. You will ensure smooth communication between the sales team, customers, vendors, and other departments within the company by providing superior support. The ideal candidate will bring strong background in sales and support experience, support proposal building, obtaining best pricing from vendors, understands technical equipment and project documentation, navigates and understands formal bids, has experience with selling using procurement contracts, and an extremely high proficiency with computer and computer programs (Microsoft Office) with a high level of accuracy. Key Responsibilities: - Become an expert in our company’s operating system for data entry and record maintenance in sales opportunities, customers, contacts, inventory, service, quotes, processing orders, internal and external change orders.
- Enter sales opportunities and update funnel steps as directed by account manager.
- Generate accurate sales quotes, enter commercial equipment components (displays, switchers, mixers, software, and service contracts), get freight costs.
- Process quotes to orders paid by purchase orders and credit card orders.
- Ability to understand and apply applicable state procurement contracts when preparing quotes to ensure compliance with contract requirements.
- Interface with AV manufacturers and distributors to secure project-specific pricing, maximize margin on Bills of Materials (BOMs), and register project deals to lock in the lowest equipment costs.
- Document review of Bills of Materials (BOMs) to ensure quoted line items accuracy and best pricing.
- Maintain knowledge of current products, vendors, distributors, manufacturers, manufacturer representatives, and other industry and company related information.
- Handle incoming phone calls and emails, routing to proper department/person.
- Liaison between the sales team, customers, and other departments within the company.
- Provide timely follow-up on status of customer orders, back orders, shipping schedules, equipment for repair, wrong shipments, damaged goods, or missing parts, etc.
- Monitoring incoming bids, qualify, compile, format, and organize required documentation, ensuring full compliance with technical and administrative submission requirements.
- Any other tasks assigned to be completed as required.
