    Essential Functions

    Sales Administration & Support

    • Provide day-to-day administrative and operational support to the sales organization under the direction of the Sales Manager.
    • Coordinate and track proposal, quote, contract, and bid-related activities.
    • Review sales documentation for completeness, consistency, and accuracy.
    • Maintain customer and opportunity information within company systems.
    • Assist with creation, formatting, assembly, and distribution of proposals, scopes of work, and customer-facing documents.
    • Maintain proposal templates, libraries, and supporting sales documentation.
    • Track deadlines and deliverables to ensure proposals and customer commitments are completed on time.
    • Support RFP, RFQ, and bid response efforts.
    • Generate and distribute sales reports and forecasting information as requested.
    • Assist with job turnover and hand-off documentation between sales, operations, and project teams.
    • Coordinate internal requests and follow-up activities between sales, engineering, estimating, project management, service, and operations teams as directed by the Sales Manager..
    • Coordinate meetings, customer follow-ups, vendor and manufacturer communications, project discussions, training opportunities, and other administrative support activities as directed by the Sales Manager.
    • Monitor assigned tasks and follow through to completion.
    • Assist with customer account transitions, contract renewals, monitoring agreements, inspection agreements, service proposals, and related documentation to support ongoing customer relationships.

    Sales Process Coordination

    • Help ensure compliance with established sales processes and documentation requirements.
    • Support contract reviews, purchase order processing, and customer setup activities.
    • Assist with customer account maintenance and record management.
    • Identify process improvement opportunities that increase efficiency and consistency across the sales organization.
    • Maintain a high level of professionalism and responsiveness when interacting with customers and internal stakeholders.
    • Perform other related duties as assigned.

    Qualifications

    Education & Experience

    • High School Diploma or GED required.
    • Associate's or Bachelor's degree preferred.
    • Minimum 3 years of experience performing administrative duties required within a sales or service industry and working knowledge of ERP systems preferred.
    • Experience supporting a business-to-business sales organization preferred.
    • Experience with proposal preparation, contract administration, or bid support is preferred.

    • Strong organizational and time management skills.
    • Exceptional attention to detail and accuracy.
    • Strong written and verbal communication skills.
    • Ability to manage multiple priorities and deadlines simultaneously.
    • Ability to work independently while collaborating effectively with cross-functional teams.
    • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
    • Ability to analyze information, solve problems, and escalate issues appropriately.
    • Experience working with customer relationship management (CRM) and business systems is preferred.
    • Ability to read and interpret customer requirements, specifications, scopes of work, and construction-related documents.

    This position is primarily office-based and requires extended periods of computer and telephone use. The role may involve occasional travel to local offices, customer meetings, manufacturer or vendor meetings, training events, and other business-related activities as needed.

    Pay and Benefits Disclosure

    The budgeted pay range for this role as of November 2025 is $21.63 – $33.31 an hour. This range is based on multiple factors, including but not limited to tenure, previous experience, qualifications, certifications, and geographic considerations.
