Role Purpose
The Sales & Operation Support role is responsible for working with the Sales, Traffic & Documentation Department as well as Marine Department. This position serves as the primary contact for the external customers. Responsible for achievement of customer satisfaction goals by providing service information; attending to customer requests and queries; appropriately communicating customer requirements and effectively relaying pertinent information to the customer regarding their shipment. This position may require employees to answer phone calls after 5:00pm and on weekends, as needed.
Duties and Responibilities
- Maintain ongoing communication with customers regarding shipment status, updates and operational changes.
- Follow up with customers to obtain volume forecasts and monitor booking trends.
- Coordinate closely with Key Account Managers by sharing customer updates and supporting decision-making.
- Assist in maintaining strong customer relationships through timely and accurate information flow.
- Support contract administration by gathering, organizing and verifying relevant documentation.
- Ensure accuracy and completeness of customer agreements and related records.
- Manage Accounts Receivable (AR) processes, including invoice follow-up, tracking incoming payments and resolving oustanding balances.
- Review incoming damage claims and coordinate findings and next steps with Key Account Managers.
- Monitor shipment timelines by reminding customers of cut-off deadlines.
- Collect and validate Vehicle Identification Number lists, ensuring alignment with booked volumes and identifying discrepancies.
- Assist in preparing and issuing spot shipment quotations.
- Develop and update sales materials, presentations and performance reports.
- Perform addional duties as assigned to support business operations and customer objectives.

Operational Side
- Check and rectify invoices
- Enter costs into Concur (Comp. Invoice and Expense System)
- Update operating costs through the organization's internal data management system (Pcc.net)
- Update Cargo Lists
- Check office supply inventory
- Other duties as assigned
