Position Title Sales and Marketing Manager, Catering and Conferences Job Description
The Ashland University Catering and Conferences Sales and Marketing Manager will work directly with clients and potential clients to secure their business and plan events. This position will also work with internal AU clients to generate BEOs for their events. This position is also responsible for all print and digital marketing for Catering and Conferences including brochures, menus, website, social media, and email campaigns.
Sales Responsibilities
- ·Lead venue tours with prospective clients.
- Initiate and complete all sales follow-up for all leads including emails, calls, and reminders, including tracking in ClickUp.
- Generate all food, beverages, linen, and décor details for all their booked events.
- Manage all upselling and cross-selling programs, including décor, all-inclusive packages, and Eagle Custom merchandise.
- Manage the AU Catering email account with the Director and respond to all catering inquiries received, excluding campus and conference inquiries.
- Receive and respond to all website inquiries, excluding conference inquiries.
- Attend bridal shows to promote AU Catering services and event venues.
- Work with the Director and Chef to plan special university-hosted events such as YMBC Ladies Night, the Eagler Golf Outing, and other assigned events.
- Collaborate with the Director of Catering and Conferences to develop new menus, packages, brochures, and pricing.
- Generate all internal supply orders and maintain the supply order form with new items and annual pricing updates.
- Coordinate repeat client bookings from year to year or for multi-year agreements.
- Coordinate and conduct bridal and other large event tastings.
- Support sales and marketing initiatives across other Auxiliary Services departments.
- Propose and review approved quarterly Key Performance Indicators (KPIs).
Marketing Responsibilities
- Create marketing materials and campaigns for catering special events, menus, brochures, and social media content consistent with Ashland University brand guidelines.
- Manage the Catering website.
- Manage all digital marketing content, including Catering Instagram, Facebook, and wedding/event website pages.
- Design and produce both digital and print marketing materials.
- Create and distribute all catering email marketing campaigns.
- Conduct post-event follow-up with large event clients to gather feedback.
Other Responsibilities
- Generate Contracts for all external sold events.
- Be present at the more demanding events sold like weddings and big conferences, at least until meal is served.
- During summer seasons, assist the Director with Conference logistics when needed.
- Review invoices weekly to confirm final client charges.
- Submit RSVP reminders for upcoming clients.
- Receive deposits and payments as needed when the Director is unavailable.
- Place Connie Douglin Linen orders for booked events.
- Supervise and direct event supervisors, setup workers, and other catering staff.
Required Qualifications
- Experience in a food service operation.
- Experience in event management.
Preferred Qualifications
- Bachelor's degree in business administration, Hospitality, or Marketing.
Physical Demands
- Be able to move throughout campus for extended periods while conducting client meetings, facility tours, and overseeing catering and conference events.
- The position requires occasional bending, reaching, lifting, carrying, pushing or pulling up to 25 lbs., and up to 40-50 lbs. with assistance.
- Ability to operate computers, office equipment, and audiovisual technology.
- Flexibility to work some evenings, weekends, holidays, and both indoor and outdoor events as business needs require.
