Position Overview
The Sales Assistant supports daily customer interactions and provides administrative and operational assistance to Product Sales Associates and the sign production team. This position follows up with customers regarding open orders, provides order status updates, and helps resolve routine questions related to products, pricing, and delivery timelines. The role works closely with the production team to gather accurate information on order progress, materials, and completion dates. The Sales Assistant also helps ensure customer orders and related documentation are processed accurately and communicated effectively.
Administrative & Customer Support Coordinator
Key Roles and Responsibilities
- Provide administrative and operational support to sales and internal departments.
- Provide general administrative support to the Company as needed.
- Develop and maintain professional relationships with customers, vendors, and internal team members.
- Assist Account Managers with customer account information, order tracking, documentation, and reporting.
- Process customer quotes, sales orders, and related documentation accurately within company systems and software.
- Ensure customer orders are entered, processed, and coordinated in a timely manner.
- Verify pricing, materials, quantities, and order details to ensure accuracy before fulfillment.
- Coordinate with internal departments to ensure customer orders are completed and shipped according to requested timelines.
- Assist with ensuring customer orders are invoiced accurately and in a timely manner.
- Assist with accounts receivable follow-up regarding outstanding customer invoices as directed.
- Research and resolve customer questions, concerns, and order-related issues in a timely and professional manner.
- Provide customers with general product information, including signs, materials, and product specifications.
- Maintain a working knowledge of Company products, services, procedures, and systems.
- Communicate the status of open orders and customer requests to Account Managers and other appropriate team members.
- Maintain accurate customer records, order documentation, and other administrative files.
- Assist with registering for, coordinating, setting up, and taking down Company trade show booths and events.
- Assist with Company events, meetings, and other administrative activities as needed.
- Answer and direct incoming phone calls in a professional and courteous manner.
- Assist customers with order pickups and help load customer sales and equipment orders when necessary.
- Perform general office duties, including filing, scanning, copying, mailing invoices, organizing documents, and maintaining office supplies.
- Assist with data entry, reports, spreadsheets, and other administrative tasks.
- Identify administrative process improvements and assist with implementing more efficient procedures.
- Perform other duties and responsibilities as assigned.

- Working knowledge of standard office equipment, including copiers, scanners, printers, and postage equipment.
Working Environment / Physical Requirements
- Primarily an office-based work environment.
- Position requires sitting for extended periods while working at a computer.
- Employee is regularly required to communicate verbally and listen effectively.
- Employee may frequently be required to stand, walk, sit, and use hands for computer and office-related tasks.
- Employee may occasionally be required to reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl.
- Employee may occasionally be required to lift and/or move materials or equipment weighing approximately 50-70 pounds.
- Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Requirements
- Valid driver's license and satisfactory Motor Vehicle Record (MVR).
- Minimum of 2 years of administrative, customer service, office support, or related experience preferred.
- Excellent organizational and analytical abilities.
- Strong problem-solving and decision-making skills.
- Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle customer and company information professionally.
- Ability to work effectively in a fast-paced environment and manage multiple priorities.
- Successful completion of required pre-employment, random, post-accident, and reasonable-suspicion drug screens.
- Satisfactory results of a pre-employment background check.
Preferred
- Associate's or bachelor's degree.
- Construction or service industry experience.
