POSITION PURPOSE:

Provides administrative and operational support to the Safety and Security Department while maintaining confidentiality and promoting safe work practices.

ESSENTIAL JOB FUNCTIONS:

  • Provides operational and administrative support in matters related to agency safety, security, compliance, training, inspections, and emergency preparedness.
  • Maintains accurate databases, logs, files, and tracking systems related to accidents, incidents, training, inspections, corrective actions, safety concerns, and other departmental activities.
  • Assists with safety- and security-related investigations as directed by Safety and Security Manager.
  • Processes and tracks accident, incident, injury, hazard, and other safety-related documentations; ensure required information is complete and properly routed for review and follow-up.
  • Obtains and reviews video related events occurring on agency vehicles and/or facilities, as directed.
  • Monitors and tracks corrective actions resulting from safety inspections, audits, accident investigations, hazard assessments, and other safety and security activities; follows up on outstanding items and provides status updates to department staff.
  • Assists Safety and Security personnel with routine facility and operational safety inspections; documents observations, identifies potential hazards, and communicates findings for review and corrective action.
  • Maintains the confidentiality and security of sensitive safety, security, personnel, accident, incident, and investigative information in accordance with agency policies and applicable laws and regulations.

MARGINAL FUNCTIONS:

  • Performs other work-related duties and responsibilities as assigned in support of the Safety and Security Department.

REQUIREMENTS:

Education and Experience:

  • High school diploma or General Education Development (GED) certificate required.
  • Two (2) or more years of administrative, clerical, safety, security, video monitoring, or related experience required.

Machines, Tools, & Equipment Used:

  • Ability to operate standard office equipment, including computers, copiers, scanners, multi-line telephone systems, and related software.
  • Proficiency in data entry, word processing, spreadsheet applications, and other business software as required.

Licenses/Certifications:

  • Valid Driver License required.

QUALIFICATIONS:

Knowledge, Skills and Abilities:

  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Ability to work independently and determine an appropriate approach for completing assignments within established guidelines.
  • Ability to perform work requiring specialized administrative, clerical, or operational knowledge, including gathering, organizing, formatting, and analyzing information and data.
  • Ability to follow established operational procedures and exercise sound judgment within the scope of assigned responsibilities.
  • Excellent verbal, written, and interpersonal communication skills.
  • Ability to organize and prioritize work, manage multiple assignments, and meet established deadlines.
  • Ability to prepare, review, and edit clear, accurate, and concise reports and other written materials.
  • Ability to work effectively under pressure and adapt to frequent interruptions.
  • Ability to interact professionally and positively with employees. Customers, vendors, and members of the public with diverse personalities and abilities.
  • Ability to maintain strict confidentiality and exercise discretion when handling sensitive information.
  • Ability to perform basic calculations accurately.

Physical Demands/Work Environment:

  • Must be available to work nights, weekends, and other non-traditional hours as required.
  • Work is performed in office, street, community, shop, and operational environments.
  • Ability to safely walk throughout an active operations campus and onboard fixed-route buses.
  • Requires frequent sitting, standing, walking, oral and written communication, listening, and computer use.
  • Requires the ability to bend, reach, stoop, and occasional lift and carry objects weighing up to 50 pounds.
  • Requires the ability to communicate effectively and to perform the visual observations necessary to safely carry out assigned duties.
  • May be exposed to moderately unpleasant working conditions, including dust, noise, temperature extremes, weather, petroleum products, and chemicals while visiting agency operating facilities.
  • Employees are expected to follow all applicable policies, procedures, safety precautions, and regulations and use required protective clothing and equipment.
