Administrative Assistant

Attendance Officer / Registrar

The opportunity:

Roncalli High School seeks a detail-oriented, service-minded administrative assistant to support students, families, faculty and school operations. This role promotes a welcoming, faith-centered environment while managing attendance, student records, front-office communication and data systems.

Schedule: Part-time, school year; Monday-Friday, 7 a.m.-noon

Start date: August 17, 2026

Department: Administrative

Reports to: Principal Fran Peter

Location: Roncalli High School, Manitowoc, WI

Remote work: Not available

Pay: $17-$19 per hour, based on experience

Paydays: Semi-monthly, on the 15th and last day of each month

What you'll do:

Attendance and student support

  • Record and verify daily attendance in PowerSchool.
  • Follow up with families about absences, early releases and health concerns.
  • Create student passes and manage check-in/check-out documentation.
  • Maintain the health room, including medical records and medication distribution.
  • Ensure teachers complete attendance accurately each class period.

Registrar functions

  • Register incoming students, verify information and request records.
  • Process withdrawals and send records when required.
  • Maintain transcripts, enrollment records, grades, test results, forms and related correspondence.
  • Manage immunization documentation and support accurate reporting in PowerSchool and WISEdata.
  • Process current and alumni transcript requests through Parchment.
  • Verify transcripts, grading scales, GPA calculations and course information.
  • Maintain records according to Wisconsin regulations, diocesan policies and legal requirements.
  • Coordinate documentation involving guardianship, custody, residency, McKinney-Vento, ELL and outside agencies.

Data stewardship

  • Enter and audit student information for accuracy and confidentiality.
  • Maintain guardianship, residency, contact, health and attendance data.
  • Connect FACTS and PowerSchool records.
  • Support course scheduling, calendars, bell schedules, grading, report cards and master-schedule updates.
  • Provide data-entry support to the principal and counseling department.
  • Keep current with applicable state, federal and diocesan requirements.

Reception and school operations

  • Welcome students, families, staff, visitors and community members with tact and professionalism.
  • Answer and route calls through a multi-line phone system.
  • Monitor doors, check in visitors and issue passes.
  • Assist attendance staff in locating students.
  • Maintain packages and mail when needed.
  • Use office technology safely and arrange technical support when requested.
  • Complete clerical tasks, prioritize competing needs and perform other assigned duties.
  • Attend meetings, training and professional development

Physical and workplace requirements

The position requires frequent standing, walking, bending and repetitive computer work. It includes occasional lifting and carrying of up to 44 pounds, possible exposure to communicable diseases and occasional travel. Candidates must have close, distance and peripheral vision, the ability to adjust focus, and a valid driver's license without serious violations.
