Description

Operations Project Coordinator must possess a combination of business acumen, technical skills and the ability to effectively communicate with management team, field employees and all internal company stakeholders. Work closely with the Managing Director to effectively facilitate projects and must become knowledgeable of the client's right-of-way manual.
 
*Project scheduled to kick off this summer, June–September.
 
Essential Tasks and Responsibilities
  • Project Execution, Scheduling, Quality of Deliverables, Employee Relations, and Accounts
  • Planning and execution: Enhance profitability, productivity and efficiency throughout the company’s operations for the projects in the Region.
  • Customer Service/Satisfaction: Work with the GM, RD and RMs to know the customers and their needs to ensure that they are met; work diligently to ensure customer satisfaction.
  • Safety: Responsible for adhering to written safety and operational procedures
Contracts
  • Assist GM and RD with Client contract management for the region
  • Review and understand contract/work order terms for projects within the region
Quality Management
  • Work closely with RD and RMs in developing Project Scope, Budget, Deliverables and reports
  • Refine Company Standard Operating Procedures (SOP) in accordance with Client specific deliverables with coordination between Operations and Integrated Services.
  • Remain current on Company SOP updates and implement Project
  • Serve as the Company’s onsite representative for internal communications
  • Assist in the scheduling of project meetings and internal
  • Prepares and issues project status reports for the Client and other departments including GIS, Acquisition, etc.
  • Provide alignment between Shared services, Land Services and Technical Services
IT
  • Support RD and RMs to order necessary hardware for Field
  • Support Field personnel regarding Company’s IT
  • Assist in IT asset
Project Facing
  • Assist in setting up project kick-off meeting and subsequent project conference
  • Understand scope of work and project
  • Manage the project dashboard by communicating potential cost overruns, scope changes, and the risk with the Project Managers in a timely manner
  • Review invoices and communicate concerns with PMs and Managing Directors
  • Prepare and issue overall project reporting to Managers in accordance with the Client deliverables and performance goals. 
  • Work proactively with other departments to facilitate project
Project Accounting
  • Support RM to track project budget actual cost.
  • Assist with approving time and expenses for field employees
  • Assist with project cost
  • Verify with client’s rep that invoices are accurate and
  • Coordinate with Client Coordinators in verifying Client
  • Work with RD, RM and Client Coordinator to collect past due invoices
Sales and Marketing
  • Assist in scheduling Client meetings, lunches, dinners,
  • Support Marketing in identifying potential events and organizations
  • Assist RD and RMs in the preparation of RFP and Formal Estimates
Required Qualifications
  • Associate's degree required plus 1 year of experience in the right of way industry
  • Should have sufficient knowledge to display the ability to quickly access pertinent information to allow for informed decisions and respond to the challenges of all assigned tasks.
  • Should possess a strong knowledge of technology processes including Microsoft Office and Outlook
  • Should be ready to assist in the progression of establishing, reviewing, and continually updating proper work flows to produce high standard and cost-efficient deliverables
  • Should possess strong organizational skills
  • Should possess strong communication and written skills
  • Ability to work autonomously and to collaborate fully as a team
  • Ability to pay close attention to details, and present good planning, organization, and time management skills.
  • Ability to work in a team environment and willingness to assume additional or new responsibilities readily.
  • Ability to maintain regular attendance as per work schedule agreed with manager (may require working an adjusted work schedule based on project assigned and work overtime if warranted).
