Job Details

he Retail Fulfillment Manager will own the end-to-end execution of a growing CPG company's retail fulfillment operation and serve as the primary point of contact for its retail 3PL partner. This role is responsible for ensuring retail purchase orders are delivered on time and in full, while driving strong 3PL performance, accurate billing, retailer compliance, and optimized inventory levels.

The ideal candidate is a hands-on operator who can quickly identify the root causes of fulfillment issues, hold external partners accountable to service-level expectations, and build the reporting and processes needed to support a scalable retail operation.

Key Responsibilities

Retail PO & Order Fulfillment

Own the full lifecycle of retail purchase orders from receipt through shipment confirmation.
Monitor orders for inventory shortages, case-pack discrepancies, labeling issues, and other potential delays.
Proactively resolve at-risk orders before they impact customer service levels.
Maintain a real-time PO tracker and reporting dashboard for Operations and Commercial leadership.

Compliance & Chargebacks

Monitor retailer and distributor deductions, chargebacks, and compliance issues.
Investigate and dispute invalid deductions while maintaining accurate documentation.
Track retailer compliance metrics and proactively address issues before they impact scorecards.
Own OTIF and fill-rate reporting by retail account.
File claims with the 3PL when retailer chargebacks are attributable to fulfillment issues.

3PL Performance Management

Serve as the primary day-to-day contact for the company's 3PL partner.
Manage performance against established SLAs, including accuracy, processing times, damages, and mis-shipments.
Lead recurring business reviews and maintain a performance scorecard.
Develop corrective action plans and escalate systemic issues using data-driven root-cause analysis.
Partner with Operations leadership on SLA, rate-card, and service-level negotiations.

Dock Scheduling & Routing Compliance

Review and confirm outbound dock appointments within retailer routing-guide requirements.
Coordinate with carriers, brokers, retailers, and the 3PL to resolve appointment conflicts, delays, and capacity constraints.
Proactively manage routing compliance to minimize late fees and chargebacks.

Retailer Onboarding & Compliance

Manage item setup for new retail accounts, including item data, GTINs, case configurations, and retailer portal submissions.
Maintain vendor compliance documentation, including product specifications, pallet configurations, UCC-128 labeling, ASN requirements, and applicable registrations.
Coordinate samples, documentation, and onboarding checklists for new retail launches, often under tight deadlines.

Invoice & Freight Validation

Audit 3PL and freight invoices against contracted rates and accessorial charges.
Identify, document, and dispute billing discrepancies.
Partner with Finance and Logistics to ensure timely invoice approvals.
Track cost savings and recoveries resulting from invoice audits.

Inventory Optimization

Monitor retail SKU inventory levels at the 3PL and maintain appropriate safety-stock levels.
Support cycle counts and reconcile discrepancies between the 3PL warehouse management system and the company's inventory records.
Identify slow-moving and aging inventory and coordinate disposition plans with Procurement and Retail/Operations teams.

Cross-Functional Operations & Continuous Improvement

Partner with Procurement, Finance, Retail, Operations, and Business Development to align fulfillment capacity with forecasts and upcoming launches.
Support onboarding of new retail accounts and distribution partners.
Build and maintain KPI dashboards and provide regular performance reporting to Operations leadership.
Identify opportunities to reduce fulfillment costs, improve order accuracy, and shorten fulfillment cycle times.
Establish scalable processes and reporting infrastructure as the company's retail footprint continues to expand.
