The Reservations Travel Specialist serves as the primary liaison for wholesale partners and supports the coordination of creative resort events. This role blends revenue-focused reservations expertise with detailed account management and event support. The Associate ensures accuracy in booking execution, maintains strong relationships with tour operators and third-party partners, and collaborates cross-functionally to bring specialty events and packages to life.
This position plays a critical role in protecting rate integrity, maximizing room and golf revenue, and delivering an elevated guest experience consistent with the resort’s luxury standards.
Key Responsibilities
Wholesale Account Management
- Serve as primary contact for wholesale and tour operator partners.
- Process room and golf reservations in accordance with contracted rates and allotments.
- Monitor availability, blackouts, cut-off dates, and contracted inventory.
- Ensure proper coding of wholesale business in PMS and golf systems.
- Audit bookings for rate accuracy and compliance with agreements.
- Maintain up-to-date knowledge of contracts, promotions, and package inclusions.
- Collaborate with Revenue Management on rate changes, allotment adjustments, and pace monitoring.
- Assist with invoicing accuracy and deposit tracking for wholesale accounts.
- Maintain strong communication with Sales and Finance regarding partner performance.
Creative & Specialty Event Support
- Manage reservations for creative events (e.g., themed weekends, tournaments, specialty golf events).
- Coordinate with Sales, Marketing, Golf Operations, and F&B to ensure accurate package setup.
- Build and manage event booking codes, rate plans, and inclusions.
- Assist with rooming lists, tee time allocations, and event guest communication.
- Support pre-arrival outreach for event guests.
- Monitor event pick-up and provide pace updates to leadership.
- Assist with on-property event check-in coordination when needed.
Operational Support
- Assist with overbooking management, including relocations when necessary.
- Provide backup coverage for Resort Service Agents during peak times.
Qualifications
Education & Experience:
- High school diploma or equivalent required
- Minimum 1–2 years of reservations, front office, or related hospitality experience.
- Experience with PMS, CRS, and channel management systems preferred.
Skills & Competencies:
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication abilities.
