The Office of the Vice Chancellor for Research Administration supports the university community with pre-award and post-award oversight and research concept/proposal development assistance. The Office also collects and maintains data necessary to prepare applications and proposals for individual research, as well as thematic research focus areas. The Research Administrator supports various activities within the central Office for Sponsored Programs Pre-Award. Pre-Award activities include reviewing, negotiating and administering incoming externally funded grants and sponsored projects. This position will manage the preparation of proposals, budget development, submission, post award management of grants and sponsored projects. This role will lead and/or manage a variety of functions including regulatory requirements, process improvement, and other special projects or initiatives. The work hours are generally Monday through Friday from 8:00AM to 4:30PM. Additional hours may be required (exact hours should be modified as appropriate). Lunch/breaks are dictated by workflow. Incumbent will maintain a customer-oriented awareness in acknowledging and responding to needs as they occur to assure that customer satisfaction is met at all times. Regular attendance is required to perform the functions of this position. Essential Functions: Advancement to Levels 2-3 is based on the demonstration of work that reflects increased complexity, quality work with decreased errors, and the ability to work with minimal supervision. Promotion to from one level to the next requires a minimum of 2 years in the position. 60% Proposal Development: Read and understand sponsor guidelines for proposal solicitations Create date milestones and requirement lists to assist faculty in preparing application documents Collect and assemble application documents and related proposal materials Route proposals using Cayuse to meet internal and external deadlines Assist faculty with budget development Ensure proposals are reviewed for completeness and administrative compliance prior to submission Facilitate communication with faculty, Business Managers, and various departments regarding assigned proposals 30% Grants Management: Process updates for other support, just-in-time requests, award notices, and other communications necessary for processing awards Read, understand, and communicate sponsor award terms and conditions Initiate award set-up and route using Cayuse Collaborate with faculty to prepare progress reports Assist in the management of research data reporting, audit requests, and document file retention Conduct project meetings for new grant awards and technical assistance Advise faculty and staff, on issues related to allowability, re-budgeting, and subawards, etc. 5% Post-Award Submissions: Initiate and complete non-financial post-award actions to include no cost extensions, change in senior key personnel, portal access, close-outs, and other related actions 5% Other: Attend meetings, training sessions, and workshops to stay informed about changing federal, sponsor, and institutional policies, processes, and procedures. Actively participate as a member of the OSP Team to assess and plan continuous process improvement Other duties as assigned.
