Position Summary

Reports directly to the designated manager for the assigned practice or outpatient department. This position is responsible for providing exceptional customer service while supporting both administrative and clinical functions within the practice.

Key Responsibilities

• Schedule patient appointments and manage appointment calendars.
• Interview patients to obtain and verify demographic and financial information.
• Register patients and complete all required registration functions.
• Obtain necessary patient signatures and documentation for billing and insurance purposes.
• Enter laboratory and diagnostic test orders into the computer system as directed by physicians.
• Perform end-of-day reconciliation and collect appropriate patient-related statistical data.
• Announce patient arrivals and answer incoming telephone calls in a professional and courteous manner.
• Serve as a liaison between patients, physicians, nurses, and other healthcare team members.
• Greet and assist patients, ensuring a positive patient experience.
• Provide administrative and clinical support under the direct supervision of a licensed physician.
• Assist with various aspects of daily medical practice operations as needed.

Requirements:

• High School Diploma or GED.
• Employees hired on or after February 15, 2018, must be graduates of an approved Medical Assistant program.
• Excellent decision-making skills and initiative.
• Strong attention to detail.
• Excellent verbal communication skills in English.
• Basic arithmetic skills for cashiering responsibilities.
• Data entry experience.
• Ability to prioritize tasks and organize workflow effectively.
• Ability to manage stressful situations in a professional, customer service-oriented manner.
• Strong written and verbal communication skills.
• Ability to manage multiple responsibilities and competing priorities.
• Knowledge of ambulatory healthcare or related healthcare fields.
• Skilled in conflict resolution.
• Less than one (1) year of related experience.

Required Licensure/Certifications

• Employees hired on or after August 1, 2021, must obtain Medical Assistant certification within six (6) months of hire or transfer into the position.
• Current Basic Life Support (BLS) certification from the American Heart Association.

Preferred Qualifications:

• Knowledge of ICD-9 and CPT coding.
• Completion of a standard medical terminology course is preferred but not required
• Two to four (2–4) years of clerical and/or customer service experience, preferably in a healthcare setting.
• One (1) year of experience working with third-party payors.
• Computer experience, including data entry and review of patient demographic information.
• One (1) year of Medical Assistant experience preferred.
