Job Summary:
The Renovation and Capital Projects Manager oversees assigned renovation, refurbishment, turnover, and capital projects from initial assessment through completion and resident occupancy. The position is responsible for project scope, budget, scheduling, quality, contractor coordination, documentation, regulatory compliance, and successful project delivery. The Renovation and Capital Projects Manager serves as the primary liaison between residents, contractors, vendors, and internal departments to ensure projects are completed safely, efficiently, on schedule, within budget, and in accordance with Franke at Seaside's mission, vision, and values.
Duties and Responsibilities:
- Independent Living Refurbishment and turnover Management (65%)
- Manage Independent Living apartment and cottage turnover, resident renovation, custom upgrade, and refurbishment projects from vacancy assessment through completion and occupancy, including development of project scopes, estimates, budgets, and schedules.
- Serve as the primary point of contact for residents, contractors, vendors, and internal departments, communicating project schedules, progress, delays, and completion dates while addressing concerns professionally.
- Coordinate renovation activities, including demolition, repairs, painting, flooring, cabinetry, countertops, appliances, lighting, plumbing fixtures, and other improvements, while ensuring projects meet Franke at Seaside refurbishment standards.
- Solicit and evaluate contractor pricing, coordinate site visits and inspections, verify required contractor documentation and insurance, and oversee the work of internal staff and outside contractors.
- Monitor project budgets and expenses, review invoices, maintain project documentation, and ensure resident-billable improvements and project costs are accurately tracked and reported.
- Conduct ongoing and final inspections, manage punch-list completion, and support move-in and transition readiness. Assist the Director of Facilities with assigned capital projects, including building renovations, infrastructure, life safety improvements, and resident amenity enhancements.
- Assisted Living, Memory Care and Skilled Nursing Turnovers (20%)
- Manage Assisted Living, Memory Care, and Skilled Nursing renovation and turnover projects, serving as the primary point of contact and coordinating vacancy assessments, scopes of work, schedules, and readiness activities with Nursing, Admissions, Resident Services, Housekeeping, Maintenance, and other departments.
- Coordinate repairs, painting, flooring, fixtures, furniture, room preparation, and other turnover activities to meet Franke at Seaside appearance standards, admission timelines, and established budgets.
- Coordinate contractors and internal departments, verify completion of contracted work, and ensure resident rooms are properly furnished, equipped, and prepared to meet resident-specific, regulatory, and life safety requirements.
- Conduct routine and final inspections, verify required readiness checks and resident safety systems, manage punch lists and warranty follow-up, and ensure rooms are ready for occupancy by established deadlines.
- Maintain accurate project documentation, schedules, completion dates, costs, invoices, and budget tracking, and support compliance with Life Safety, OSHA, DHEC, CMS, Infection Control, and Franke at Seaside policies and procedures.
- Systems, Reporting & Administration (5%)
- Utilize project management systems to maintain accurate project activities, refurbishment schedules, dashboards, project files, contracts, permits, warranties, drawings, invoices, inspection reports, and other documentation.
- Track occupancy readiness, turnover performance, outstanding punch-list items, compliance deficiencies, and warranty claim resolution, and prepare monthly reports for leadership.
- Complete contractor performance evaluations and assist with departmental planning, annual capital planning, forecasting, and reporting initiatives.
- Identify opportunities for cost savings, process improvements, and increased efficiency in project planning and execution.
- Compliance and Training (5%)
- Follow all HIPAA privacy regulations, ensuring confidentiality for residents and staff.
- Attend all mandatory in-service, meetings, educational programs, training sessions and completion of online training modules. Adhere to all safety policies and procedures.
- Provide exceptional customer service through compassionate and empathetic interactions with residents, families and teammates.
- All other duties, as assigned (5%)
Qualifications:
- Education: High School Diploma or equivalent. Associate Degree in Construction Management, Facilities Management, Business Administration, Project Management or related field preferred.
- Experience: Minimum of three (3) years of experience in project coordination, facilities management, construction administration, property management, renovation management, or related field. Experience coordinating contractors and multiple projects simultaneously. Experience in senior living, healthcare, hospitality, property management, or construction environments preferred.
- Skills: Strong project management and organizational skills. Ability to read and interpret construction scopes, plans, specifications, and contracts. Strong budgeting and cost-control abilities. Proficiency in Microsoft Office applications. Ability to prioritize multiple projects and deadlines. Ability to work independently while collaborating effectively with multiple departments.
Physical Requirements:
- Ability to walk throughout a large campus daily, stand, bend, climb, reach, crouch, and lift up to 30 pounds.
- Ability to inspect construction and renovation projects in occupied and unoccupied buildings.
- Ability to work indoors and outdoors in varying weather conditions.
- Ability to safely navigate active construction and renovation sites.
- Must have valid South Carolina driver's license.
