    Position Title: Registrar / Driver

    Reports To: Director of Clinical Operations

    Employment Status: Full-Time, Non-Exempt (Hourly)

    Position Summary

    The Registrar/Driver is a vital member of our mobile healthcare team, serving in the front line of patient access and community engagement. This role supports the mission of Mobile Medical Care by welcoming patients, ensuring accurate registration and eligibility determination, supporting clinic operations, and safely operating the mobile medical van that brings care directly to the community. The Registrar/Driver plays a key role in creating a welcoming environment and ensuring that every patient experience is respectful, efficient, and supportive.

    Essential Duties and Responsibilities

    • Patient Registration & Access to Care
    • Greet and register new and returning patients, helping them feel welcomed and supported during clinic visits (daily clinic operations are overseen by a Nurse Manager).
    • Determine patient eligibility for Montgomery Cares, Medicaid, Medicare, Commercial Insurance, and sliding fee discount programs to help reduce barriers to care.
    • Collect, scan, name, and upload required eligibility and clinical documentation into the Electronic Health Record (EHR) system (eClinicalWorks - eCW), following documentation policies.
    • Accurately update patient demographic, insurance, and appointment information in eCW in a timely manner.
    • Identify patients who may qualify for Medicaid or other coverage programs and refer them to the Outreach Specialist (looping in the Clinic Nurse Manager) to support continuity of care.
    • Patient Fee Collection
    • Collect patient fees (cash or credit card) in accordance with established fee schedules and organizational policies, ensuring transparency and issuing receipts.
    • Prepare and submit cash and check deposits within 48 hours of clinic operations.
    • Maintain and submit credit card transaction receipts to the Finance Office in compliance with cash collection policies.
    • Clinic Administrative & Care Coordination Support
    • Schedule and confirm patient appointments using the eCW appointment calendar.
    • Review patient eligibility prior to clinic days and proactively contact patients who need to bring documentation for eligibility recertification.
    • Under the guidance of the Nurse Manager, support clinic operations by functioning as a Clinic Clerk, including scanning records, answering phones, and communicating via fax or encrypted email.
    • Retrieve laboratory results, radiology reports, and other medical records from fax, CRISP or provider offices to help prepare for patient visits as needed.
    • Driving & Mobile Clinic Operations
    • Safely operate the mobile medical van to and from assigned clinic and community sites.
    • Refuel the van as needed and securely manage the Mobile Medical Care credit card.
    • Conduct basic daily vehicle upkeep and promptly report maintenance or safety concerns to the Lead Driver.
    • Transport the van to repair or maintenance facilities as requested to ensure uninterrupted clinic operations as needed.
    • Organizational & Team Participation
    • Participate in Quality Improvement initiatives that enhance patient access, clinic efficiency, and service delivery.
    • Attend orientation and ongoing training to strengthen registration practices and patient-centered service.
    • Participate in All-Staff and Registrar/Receptionist meetings as scheduled.
    • Perform additional duties assigned in support of Mobile Medical Care's mission and operations.

    Qualifications and Requirements

    • Valid U.S. driver's license held for a minimum of five (5) years with a clean driving record.
    • Current Maryland driver's license required.
    • Experience driving a large vehicle (e.g., mobile clinic van or RV) preferred.
    • Strong computer and data entry skills; experience with electronic health record systems preferred.
    • Ability to work collaboratively as part of a multidisciplinary healthcare team in a dynamic, community-based environment.
    • Demonstrated ability to interact respectfully and effectively with patients from diverse cultural, linguistic, and socioeconomic backgrounds.
    • Bilingual English/ Spanish preferred.
    • Commitment to equity, teamwork, and improving patient experience and health outcomes.
    • Ability to lift and carry supplies or equipment weighing up to 15 pounds for distances of at least 50 yards.
