Referral Coordinator/Medical Assistant
The Referral Coordinator/Medical Assistant is a versatile position that supports the clinical, administrative, referral, and front-office operations of the practice. This role requires an individual who can work independently while collaborating closely with other team members to ensure daily responsibilities are completed accurately, efficiently, and in a timely manner.
The ideal candidate is organized, dependable, detail-oriented, and professional, with strong communication and multitasking skills. The candidate should be comfortable communicating with patients, insurance companies, primary care offices, and other healthcare professionals. Because this position involves confidential patient information, discretion, accuracy, and adherence to patient privacy standards are essential.
Key responsibilities include, but are not limited to:
- Creating and preparing charts for new patients
- Scheduling patient appointments and assisting with scheduling-related needs
- Verifying that patient demographic and insurance information is accurate and current
- Greeting and assisting patients in a professional and courteous manner
- Collecting patient payments and accurately documenting payments received
- Processing mailed payments
- Answering incoming phone calls and assisting patients with questions and concerns
- Communicating with the practice's billing company regarding insurance and billing questions
- Communicating professionally with primary care offices regarding referrals, required documentation, and scheduling needs
- Assisting with identifying and resolving insurance-related issues that may affect patient scheduling or billing
- Sorting and reviewing incoming faxes and ensuring documents are scanned and uploaded accurately into the appropriate medical record
- Maintaining an organized workflow and completing assigned responsibilities in a timely manner
- Returning patient and office voicemails in a timely manner
- Assisting with general front-office duties and provide coverage when working alongside another front-office staff member.
- Demonstrate flexibility and willingness to assist with responsibilities outside of a single designated task when needed.
- Maintain a professional, positive and team-oriented work environment.
Qualifications & Skills
- Previous medical office, medical assistant, referral, insurance or healthcare experience preferred.
- Strong organizational and time-management skills
- Excellent attention to detail and accuracy
- Ability to handle confidential patient information appropriately
- Ability to work independently
- Ability to work effectively as part of a team
- Ability to multitask and prioritize responsibilities in a busy medical office
- Comfortable communicating with patients, insurance companies, primary care offices, and third-party billing personnel
