Position Summary

The Recruiting Support Specialist provides administrative and operational support throughout the recruitment lifecycle, ensuring a seamless and positive experience for candidates, hiring managers, and new employees. This role coordinates recruiting activities, pre-boarding, onboarding, and new hire processing while maintaining compliance with institutional policies and employment regulations. The position plays a key role in delivering exceptional customer service and supporting an efficient, high-quality hiring process for non-academic staff employees.

Job Responsibilities

  • Coordinate recruitment activities, including interview scheduling, candidate communications, reporting, and maintenance of recruiting files to ensure audit readiness and regulatory compliance.
  • Support the recruitment process by posting job requisitions, screening candidates for qualifications, competencies, cultural alignment, availability, and interest, and coordinating next steps with recruiters and hiring managers.
  • Manage the candidate pre-boarding and onboarding process by scheduling appointments, monitoring completion of required documentation, and ensuring all onboarding requirements are completed prior to the employees start date.
  • Coordinate post-offer activities, including background checks, medical clearances, and employment eligibility requirements. Resolve issues, communicate updates, and document outcomes as appropriate.
  • Process new hire documentation, including Form I-9 verification and employment records, ensuring accuracy and compliance with federal and institutional requirements.
  • Facilitate non-academic New Employee Orientation and contribute to a welcoming, engaging onboarding experience.
  • Assist with candidate sourcing through job boards, social media platforms, professional organizations, campus recruitment initiatives, internet research, and direct outreach to passive candidates.
  • Respond to inquiries from candidates, hiring managers, and new employees, providing timely and professional customer service while escalating complex issues when appropriate.
  • Maintain accurate and confidential employee and candidate records within the Human Resources Information System (HRIS), Applicant Tracking System (ATS), and onboarding platforms.
  • Ensure compliance with institutional policies, employment laws, and regulatory requirements throughout the recruitment and onboarding process.
  • Participate in special projects and process improvement initiatives as assigned.

Education

  • Bachelors Degree in Human Resources, Business Administration, Communications, or a related field required. Or equivalent experience.

Experience

  • Two or more years of administrative or human resources experience, preferably supporting recruitment or talent acquisition in a high-volume, customer-focused environment.
  • Experience coordinating multiple priorities while maintaining accuracy and confidentiality.

Knowledge, Skills and Abilities

  • Strong interpersonal, verbal, and written communication skills with the ability to build positive relationships across diverse stakeholder groups.
  • Exceptional organizational skills with strong attention to detail and a commitment to accuracy.
  • Demonstrated ability to manage multiple priorities, meet deadlines, and adapt in a fast-paced environment.
  • Customer service-oriented with a professional demeanor and commitment to providing a positive candidate and employee experience.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and experience using HRIS, applicant tracking systems (ATS), and electronic onboarding platforms.
  • Ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion.

Working Conditions/Physical Demands

  • Primarily office-based work with prolonged periods of sitting and computer use.
  • May require occasional standing, walking, and lifting or carrying materials weighing up to 15 pounds.
  • Occasional flexibility in schedule may be required to support recruiting events, orientations, or business needs.
